Band 3 Medical Secretary - Renal Services

Job summary

Provide comprehensive secretarial and administrative support to Consultants and the Clinical Team, including producing clinic letters, discharge summaries, minutes, reports, and other correspondence. Act as an empathetic and professional point of contact for patients, relatives, carers, and healthcare professionals, working under the direction of the Medical Secretary Supervisor.

Key Responsibilities

*Arrange patient appointments and theatre/day case admissions as directed.

*Use initiative and judgement when responding to clinical and non clinical enquiries.

*Ensure clinic letters and discharge summaries are completed within agreed timeframes.

*Maintain Consultant diaries and manage daily incoming post.

*Input and retrieve patient information in line with Trust policies.

*Organise meetings and support colleagues during periods of high workload.

*Provide professional telephone communication, accurately recording and directing messages.

*Communicate effectively with distressed or emotional service users, overcoming any language or communication barriers.

*Handle challenging behaviour with empathy and professionalism.

*Participate in departmental meetings and contribute to effective teamwork.

*Manage and prioritise patient investigation results based on clinical need.

*Plan and prioritise daily workload to meet required deadlines.

Main duties of the job

Experience of dealing with the Public/Customer service experience

Experience of working with a range of Microsoft Office packages (eg. Word, Excel and Outlook)

Experience of using IT systems/Good keyboard / IT skills

Experience of working in a busy environment

Experience of working in Healthcare

Good communication / customer care skills both written and verbal demonstrating sympathy and compassion

Good organisation skills and ability to multitask

Good time management skills

Ability to deal professionally with enquiries from staff

Ability to problem solve

Understand confidentiality and apply the principles
