An exciting opportunity has arisen to work as a Band 3 Medical Secretary in the fast paced and busy Heart and Lung Transplant Department at the Queen Elizabeth Hospital. The post holder will be a key member of the team and is expected to provide an empathic and sensitive point of contact for patients/relatives and carers, have a confident and calm manner with good communications skills. The post holder will be expected to appropriately manage confidential, complex and sensitive information under the direction of the Medical Secretary Supervisor.
The successful candidate will be efficient, productive and be able to prioritise tasks such as booking appointments, manage diaries, particular responsibility for the audio typing of clinic letters and to support your colleagues and clinical staff during times of annual leave and sickness.
Main duties of the job
Liaising with Team Leader daily and providing full secretarial support to our band 4 Senior Medical Secretarial Team. Processing of clinical letters (touch type from audio and/or copy type from written documentation prepare letters, emails, reports and minutes of meetings), booking clinic appointments, checking follow up appointments and clinic outcomes. Adding patients to waiting list. To maintain diaries as required. Input and look up data on Trust IT systems in accordance with Trust policy.
The post holder will be proactive in solving problems and queries and you will see these through to completion. The post holder will need to be calm and patient with an excellent telephone manner, drawing upon communication and interpersonal skills in order to deal with sometimes complex and difficult issues over the phone. The post holder will be flexible in their approach and will work creatively to provide support in the most effective way.
