Job summary
The post holder will provide a professional reception/ front of house service and administrative support to Clinical skills & Simulation services supporting the users and staff as directed by the management and the training teams.
The sucessful candidate will be the first point of contact for users of the centres and will provide high quality customer service and clerical / administrative support for all training activity scheduled in the centres and bespoke off site administration.
The post holder will provide an effective and efficient administrative service to the services educational portfolio.
In order to meet the contractual service requirements, the post holder will be required to be flexible to deliver the service in line with business needs, including cross site working
Main duties of the job
*To provide a professional front of house service for the Clinical Skills and Simulation service dealing effectively and efficiently with all visitors and telephone enquiries referring promptly to the appropriate person as required.
* Direct candidates to appropriate training facilities within the centres
* Ensure candidates are registered correctly for all training courses held within the centre.
* Use relevant room booking systems to advise on the availability of the centre to internal and external stakeholders and bookings and to redirect visitors to other venues within the wider Education Centres as appropriate
* Assist with the upkeep, tidiness and maintenance of waiting areas and office, ensuring it provides a safe, tidy and presentable environment for learners
* Deliver an effective administration service to the Education Teams and their core portfolio of activity
* Assist with the management of course bookings and waiting lists, liaising with trainers, managers, divisions and staff to ensure nominations are appropriate and courses are effectively booked and followed up
*Produce and ensure timely distribution of all joining instructions and supporting documentation to candidates and managers.
*Provide advice and support to staff who enquire about training opportunities.
* Liaise with the Training Administration Teams and provide support with updating databases for attendance and competence as required
