Job summary
UHB is one of the largest acute hospital Trusts in England, serving the populations of Birmingham and Solihull. The Trust is composed of four main hospital sites; QE, BHH, GHH and SH. The post-holder will have a base site of BHH, but support GHH and SH, as well as work closely with the Admin Assistant at QEH.
As the BHH Haematology Departments Administrator you will provide clerical support to the Haematology Operational Management team. Excellent computer skills will be essential and you will be expected to be proficient in the use of Teams, Outlook, Word and Excel. A confident and outgoing personality is desirable as you will be involved in contacting staff of all levels from inside and outside of the trust. As you will be interacting with many different health care professionals, interpersonal skills are also important.
Hospital laboratories have become a highly regulated field to ensure patient safety, so you will be involved in ensuring the quality and completeness of training records, production of reports, taking notes and minutes from departmental meetings and assisting with general admin duties. You will also be encouraged to identify areas for quality improvement and ways to achieve this.
Main duties of the job
To undertake where required typing which may include touch type from audio and/or copy type from written documentation which may include letters, emails, reports and any other correspondence as required
Create documents / spreadsheets / reports as required using IT Systems
To exercise initiative and judgement based on acquired knowledge and experience when dealing with enquiries
Receiving and dealing with telephone enquiries as appropriate
To maintain diaries as required
Input and look up data on Trust IT systems in accordance with Trust policy
Analyse and extract complex data sets from a number of different sources
Arrange meetings and appointments as necessary
To assist colleagues as directed by the Supervisor/Line Manager in times of pressure of work
Co-operate in the introduction of new technology and new working practices to ensure the smooth running of the department
- Photocopying, Scanning and filing letters and documents as required
Liaise with staff and service users and external agencies to provide a point of contact for service users
Be sympathetic and sensitive to the requirements of staff, service users when communicating by telephone or face to face, including dealing with a difficult situation.
- Attend admin team / departmental meetings on a regular basis. Contribute to building effective teamwork in exchanging views, ideas and communicating effectively
- Maintain confidentiality at all times adhering to Caldicott Guidelines and Data Protection Act
