Job summary
An exciting opportunity has arisen for an enthusiastic individual to apply for a position as a Ward Clerk Team Leader for a group of Wards, within the Informatics & Patient Administration Directorate (Corporate). The post holder will be required to operationally line manage a group of Ward Clerks ensuring compliance with National and local standards. The role will consist of a strong emphasis on data quality, effective teamwork and a keen focus on the Trusts Vision and Values.
In addition to line managing ward clerks you will also be expected to undertake inpatient ward clerk duties on the ward as and when required to cover sickness and other absences.
The successful applicant will ideally have ward clerking experience, but this is not essential. Ideally you will also have experience of leading a team and possess exceptional motivational and organisational skills. You will be proficient in using Microsoft Excel, Access, Outlook and Word and will be able to demonstrate the commitment and drive needed to continuously improve ward clerking processes and inpatient data quality.
The post holder will be required to undertake a significant amount of HR work, including conducting appraisals, organising staff rotas, completing return to work interviews and dealing with any day to day queries from the ward clerks.
This is 37.5 hours per week, Monday-Friday.
The hours and days are non-negotiable due to service need.
Main duties of the job
1.To advise, support and line manage a team of ward clerks on a daily basis ensuring adequate coverage of duties across a defined group of wards.
2.To highlight any staffing issues/concerns to the Ward Clerk Support Manager/Ward Clerk Manager.
3.To monitor the timeliness and quality of the teams data entry in line with metrics set out by the Ward Clerk Manager by undertaking regular performance checks.
4.To undertake regular audits of service user data to comply with National Guidelines including IGT Data Quality Standards
5.To implement Trust policies e.g. H&S and informal stages of HR policies of the Sickness Attendance Management, Disciplinary and Grievance.
6.To perform yearly appraisals for each team member in line with Trust Policy, including six monthly reviews.
7.Reviewing policies and procedures, proposing changes to improve working practices and standards.
8.Take a lead responsibility in ensuring the case note tracking system for the booking in and out of patient's notes is fully adhered to on the ward.
9.To coordinate and carry out 'on the job' training and instruction of eg. Locate agency staff / new ward clerks in the correct use of PAS and other inpatient administrative functions.
