Job summary
We are looking for someone who has experience of administration and working with digital
systems. You would be working within a creative and innovative team, so you would need to be
flexible and comfortable with change. You need be willing to contribute ideas for making
improvements to our systems, where necessary. You need to like working with people, principally
via phone and email. You need to be skilled in forming relationships with national trainers and
immediate colleagues. You need to be able to offer great customer service, representing us in a
calm, organised, knowledgeable and friendly manner. The post holder would also need to
communicate and collate information with customers and service users regarding Solihull
Approach products and services. The Solihull Approach is a training programme for both
practitioners and parents which aims to increase the emotional health and well-being of the
population. Candidates would be expected to be able to describe the Solihull Approach at
interview www.solihullapproachparenting.com The post holder will work as part of a team
providing comprehensive Administration / Co-ordination support to Solihull Approach, working
in conjunction with colleagues, service users and stakeholders. The post holder will work under
indirect supervision and will directly contribute to and Co-ordinate the efficient running of the
service.
Main duties of the job
Distribute resources to customers via couriers, electronically and other mediums as required.
Communicate and facilitate professionals and delegates via virtual platforms e.g. Teams or Zoom.
To create documents / spreadsheets / reports as required using IT Systems and use systems to
input electronic data as required. To exercise initiative and judgement based on acquired
knowledge and experience when dealing with enquiries e.g. telephone, email and other systems.
Analyse and extract complex data sets from a number of different sources. Arrange meetings and
appointments as necessary. Assist colleagues as directed by the Supervisor/Line Manager in
times of pressure of work. Co-operate in the introduction of new technology and new working
practices to ensure the smooth running of the department. Organise own day-to-day work tasks
showing an ability to prioritise in order to achieve set timescales. Arrange transport as required.
Prepare and distribute resources and orders via couriers and other mediums. Coordinate and
arrange meetings, trainings, conferences etc. including diary management to ensure availability
and attendance. Develop and maintain an efficient filing system on behalf of the team. Be
responsible for confidentiality in line with departmental and Trust policy and procedures. Ensure
all information held is kept up to date. Maintain stock control such as stationery, materials,
equipment and orders
