Job summary
The Estates and Facilities department of East Coast Community Healthcare C.I.C. are looking to employ an administrator for 10 hours a week, on a fixed term contract for 6 months. Working hours will be split into two 5 hour shifts. Monday 08:00 -13:00 and Thursday 08:00 - 13:00. Due to operational requirements the days and times are set.
Previous NHS Service as an administrator is a requirement for this role. East Coast Community Healthcare C.I.C. is an NHS care providers and therefore alines with NHS Agenda for Change Policies and regulations.
This role is set at Band 3, Pro rata.
This is a new, temporary role within the facilities service team assisting with their administration requirements.
You would be based at Beccles Hospital working along side the Hotel Services teams.
Main duties of the job
Working under the direction of the Estates & Facilities Site Co-Ordinator.
Planning and managing your workload, assessing and addressing last minute issues raised by suppliers and teams.
Liaising with a number of suppliers. Planning ahead to place orders at specific times.
Checking that received invoices correspond with raised orders.
To assist in monitoring and maintain stock levels for the department.
To respond efficiently and effectively to telephone enquiries and emails, resolving routine matters where possible and providing accurate service information, as appropriate, or re-directing to relevant staff where necessary.
Input departmental data activity into departmental systems as required in a timely and accurate manner.
Assisting in ensuring site departmental compliance records are recorded and updated, scanning and photocopying recorded information.
Assisting with setting up rosters and the initial stages of finding cover.
Input departmental data activity into departmental systems as required in a timely and accurate manner.
At times to carry out any other administrative duties as appropriate.
