Job summary

Are you interested in taking the first steps on a career in a healthcare setting? We are looking for an enthusiastic and confident apprentice to provide support to our Quality and People Team in the newly created role of Quality and People Support Apprentice. The Quality and People Team provides a variety of key services including Human Resources and Clinical Audit and is a great place to embark on a career in healthcare.

The post will be based at Hamilton House, Lowestoft but there may be times when you are required to travel to other ECCH locations in the Great Yarmouth and Waveney area as required.

For the first year of this apprenticeship the hourly rate will be £7.55. After 12 months the hourly rate will increase to the national living or minimum wage depending on your age. For more information please go toNational Minimum Wage and National Living Wage rates - GOV.UK

Please note: Under current UK immigration rules, this role does not meet the eligibility requirements for sponsorship under either the Health and Care Worker visa or the Skilled Worker visa routes.

Interview date is planned for the 20th November.

Main duties of the job

Duties will include providing a high standard of administrative support to the Quality and People Team in the provision of an effective business-focused service to ECCH managers and colleagues supporting the implementation of the annual Quality and People Work plan.

The successful candidate for this training post will commit to undertaking a Level 3 Business Administration Apprenticeship within the 2 year duration of the apprenticeship.

The role will include providing administrative support for ECCHs training programmes and will contribute to the organisation and coordination of learning opportunities of all employees.

Job responsibilities

Administration Support:

Responsible for dealing with general basic Quality and People Team queries as directed/delegated

Dealing with incoming post to the department and disseminating as appropriate, processing incoming paperwork in line with guidance and process

Supporting the clinical audit function by; creating and issuing communications, maintaining databases, updating the QUEST Audit Module, liaising with a range of stakeholders & general administration.

Data input to agreed Systems, including Electronic Staff Record (ESR) and Quest (risk management and incident reporting system).

Provide adhoc recruitment support by compiling and sending out interview packs, responding to application queries and copying of documentation, including ID, and copying ID for self-employed contractors. Including use of NHS Jobs or applicable recruitment systems

Process all filing and scanning for electronic HR files

Send DBS Forms to external customers upon request (including for self-employed contractors where applicable)

Maintaining and updating the QUEST incident reporting system to ensure information remains accurate and up to date

Providing support in meetings including note-taking, collating and distributing notes, maintaining action logs, and preparing and circulating agendas

Assisting with staff wellbeing, EDI (Equality Diversity and Inclusion) and engagement initiatives

Supporting People projects where appropriate such as workforce planning or change programmes

Upon receipt of a reference request, check with People and HR Business Partners/Advisers, and run standard reference template from ESR, update as advised and send.

Assist with running reports and chasing outstanding requirements as required, for example, registration checks, mandatory training, appraisal, and leaver reports.

Training & Development

Using the Online Learning Management (OLM) Notification system sending training reminders to all colleagues and line managers as well as Did Not Attend notifications, escalating any themes where appropriate.

Produce Attendance Sheets for all training and send to relevant training provider/instructor within a timely manner

Assist with the organisation of the monthly corporate induction, ensuring relevant materials are sent, and all delegates are informed of joining instructions

Produce a weekly training programme

Be the first point of contact for all training related queries in person, over the phone or by email.

To ensure staff are made aware of their mandatory training requirements, providing advice and guidance regarding compliance at all opportunities

Assist the People, HR, Absence and OH Admin Assistant to set up and maintain courses/enrolments/resources on ESR ensuring all information is accurate, as directed undertake regularly data cleansing checks against training programme

Provide ad-hoc support to employees on eLearning

Prepare relevant course material and hand-outs for training events

Respond to routine correspondence and enquiries in an efficient and effective manner

Along with Administration colleagues, within the post rota undertake scanning of training paperwork, process all attendance, evaluation sheets for completed classes, and send out all necessary pre and post course paperwork to delegates

Support the audit trail for all training and development activities

Given the sensitive nature of the work, the postholder will have information that may include service users personal details, the postholder will ensure safe keeping of these records and treat all information as confidential
