Job summary
Your role will be to provide a comprehensive, effective & timely secretarial support to the Stroke & Neuro Rehabilitation Consultants, the MDT & supporting Healthcare of the Elderly & Long COVID work during busy times & times of absence.
You will actively organise own workload in an efficient & productive manner. You will liaise with all colleagues within the multidisciplinary team & with internal departments & external agencies to ensure the continuity of patient treatment.
Your role is to support the doctors work in the team & a flexible approach is required. Duties will include audio typing, copy typing letters, updating SystmOne, managing the annual leave for the doctors, recording absences, managing diaries, booking reviews, answering telephones, liaising & coordinating meetings, minute taking & supporting audit work within the team. You will need excellent organisational skills, excellent communication skills, a flexible approach, good time management & the ability to prioritise work and manage stress well.

Main duties of the job
Participate in interview panels for specified jobs
Assisting the training of newly appointed secretarial & administrative staff & supporting them during their assimilation
Actively contribute & participate in line managements & appraisals
Supervise administrators of lower bandings
Assist in maintenance of stock control & security of stock
Observe a personal duty of care when using equipment & resources
Maintaining a safe environment in accordance with Health & Safety Policies
Able to plan & prioritise their own workload on a day-to-day basis

To provide an efficient audio, copy typing &word processing service for GPs & health professionals as required. This includes the typing of letters, reports, patient referrals, etc. in an accurate & quality manner.
To establish & maintain filing & administrative systems so that written or computer information is easily accessible & secure.
To retrieve medical records & assist the completion of medical/insurance records.
To receive incoming & initiate out going telephone calls in order to facilitate timely & appropriate communications with others, taking messages & dealing with appropriate queries.
To maintain the computer clinic system in an accurate & secure manner
To provide cover for members of the secretarial team during periods of sickness & annual leave.
All Livewell Southwest staff are expected to able & willing to work across a 7 day service.
