Job summary
An exciting opportunity has arisen for a part time Band 3 Administrator to join Nottingham CityCares Bone Health Service at Bulwell Riverside. The team operate Monday- Friday, 8am- 4pm and this post will be for 22.5 hours.
The Bone Health Service aims to be a proactive, forward thinking, and dynamic service which provides evidence-based assessment and follow up for individuals requiring ongoing Osteoporosis management in the community and those who are at risk of frailty fractures.
We are looking for an enthusiastic, motivated, and conscientious team member who is willing to learn and work within a growing community Service.

Job Purpose
- To provide comprehensive clerical support for the day-to-day administration of the Bone Health Service.
- Work effectively as part of a busy team covering for other team members as and when appropriate.
Dimensions
- Ensure team members are aware of any new information for cover arrangements.
- To actively participate in mandatory and team-specifictraining.
Key Responsibilities
- To provide full administrative support to the Bone Health team on a day-to-day basis.
- To have accurate typing/inputting skills when using the electronic patient record (SystmOne).
- To be a point of contact for tracking staff during office hours and at the end of their workingday.
- To update and maintain Health and Safety records including lone worker information for staff members.
- To have a good working knowledge and experience of Microsoft Office in particular Microsoft Word to produce letters and other word-processed documents.
- To be responsible for answering and fielding telephone calls appropriately from a wide variety of sources where there may be barriers to understanding. To record telephone messages in writing and act promptly if urgent responses are needed.
- To accurately collate and input data and produce statistics as and when required.
- To maintain diaries, make appointments, action tasks and support clinical staff.
- To take minutes/ notes of meetings as and when required, including preparation and distribution of agenda and minutes.
- To undertake general office procedures including photocopying, filing and the distribution of mail as required.
- To provide administration support for the recruitment process as and when required.
- To work effectively as part of a team to provide cover for other administration staff when required.
- When required to order stock and non-stock equipment via the Supplies Department and to maintain stock levels of stationary.
- To be customer focused on behalf of the service and ensure that the reception people aregiven is welcoming and helpful.
- To maintain strict confidentiality in all aspects of work in line with policies and the Data Protection Act.
- To plan and organise work using own initiative within set departmental parameters.
- To undertake any additional duties as appropriate.
