Job summary
This is an important role that will sit within the administration team to provide a comprehensive and flexible administrative service to the teams of specialist clinicians as working within Bladder and Bowel Services. You will work collaboratively and flexibly with the team to provide a seamless administrative service ensuring all key functions of the services are covered each day.
Days/Times: Monday Friday
Core office hours are 8:30-16:30.
This role is up to 28 hours per week, this can be spread over 5 days or condensed into 3 long days.
Main duties of the job
Work flexibly to meet the demands of the service, covering holiday and sickness to ensure a smooth administrative service
Process referrals onto the EMIS system and process all associated tasks within service operational protocols including flagging any urgent referrals
Book clinical appointments and manage cancellations efficiently
Develop clinical letters from consultations using a standard template
Be responsible for discharging patients in accordance with local policy
Answer telephone queries, taking accurate messages and dealing with them appropriately, as well as keeping track of the team inbox
Provide administrative support working at home or at base as required e.g. typing printing, scanning, minute taking, producing letters, dealing with post, disposal of sensitive material
Travel as required to Sirona bases e.g. for training and meetings
Act in a professional, respectful and helpful manner at all times in line with Sirona values detailed below
Respond to patient enquiries with appropriate advice and empathy
Provide support to the senior administrators within the B&B team
Prioritise tasks effectively and complete work within specified deadlines, with flexibility and the ability to adapt when needed
Ensure own work and all outgoing material meets Sirona standards.
Be able to maintain effective systems for retrieving information.
