Senior Administrator – Quality, Safety & Security

Job summary

This is an exciting opportunity for an Administrator looking to take the next step in their career! We are looking for a Senior Administrator to join our Quality, Safety and Security Team on a fixed term/secondment basis.

The Quality, Safety and Security Team functions are pivotal to ensuring we can have a high level of strategic oversight, recognition and understanding of clinical issues and priorities which will then enable the whole organisation to provide excellent care.

Our service ensures that there is an objective and supportive structure for all staff and can provide effective solutions and outcomes, putting the involvement of people who use our services at the centre of all we do.

This role is based at our HQ In Yate and there is an opportunity for hybrid working.

Main duties of the job

To provide a comprehensive administration service for all of the diverse areas of the Quality, Safety and Security Team, including:

  • Accurate and reliable message taking,
  • Email enquiries
  • Arranging meetings/events/appointments, preparing papers for meetings
  • Taking minutes and ensuring that action logs are kept up to date with accurate information.
  • Liaising with a range of individuals both from Sirona and external partners and at times, members of the public.
  • The role will provide support to the Quality Directorate to coordinate/file/save/update documents used by the team.
  • The post holder may provide reception/mail-handling services and/or meet and greet visitors, arranging appropriate hospitality.
  • You may provide day to day supervision of others.

Essential

  • Knowledge of how to train/mentor others and, where relevant to the role, how to line manage others.
  • Administration work relevant to the position applied for.
  • A range of administrative processes (typing, minute taking, data management/analysis).
  • Collating and producing data/information in a reader friendly way.
  • Diary management and organising meetings/events.
  • Ability to undertake audio typing/digital dictation and understanding of complex medical terminology.
  • Able to supervise others within own sphere of competence.

Desirable

  • Working in a health/social care or service-oriented organisation

Education and Qualifications:

Essential

  • Significant practical experience in a wide range of relevant administrative procedures, preferably supported by an NVQ 3 in administration or equivalent training/demonstrable experience.
  • Numeracy and Literacy level 2 qualification or equivalent demonstrable experience.
  • Evidence of undertaking personal/professional development.
  • Willingness to undertake training required for the role.
