Clevedon Minor Injury Unit (MIU) sees patients for assessment and treatment of minor injuries from those aged 12 months and over as a walk-in and wait service.

Patients can be referred by 111 or advised appropriately by other healthcare professionals but no appointments are offered.

This role is the first point of contact for service users, staff and third parties contacting the Place Based Urgent Care Facilities.

The role holder is responsible for registering service users on the computer system and helping visitors and service users by signposting them and responding to requests for information. The role supports team members through administering various systems and processes and undertaking administrative tasks as required.

Full time or part time hours considered.

Main duties of the job

Provide a point of contact for the service (including patients, carers, healthcare professionals and other external partners), responding to requests for information and signposting as required.

Ensure relevant information is inputted onto IT systems with a high level of accuracy (Adastra, WAP and supply chain ordering).

Use a range of media to communicate with others, including face to face, telephone, email, letter and conference calls.

Answering the telephone within a timely manner and acting in a professional manner on all occasions

Maintain safe patient numbers within the department waiting room, ensuring that additional space is used once maximum patient numbers have been reached.

Maintain oversight of patients within the waiting room and external spaces.

Ability to recognise a person in need and escalate concerns in a timely manner to clinical team.

Alert the Senior Shift Clinician to service users that may require immediate attention (including possible infectious and vomiting patients) and assist clinicians by calling for an ambulance or deploying a vanity screen.

To arrange preliminary fracture clinic hospital appointments for service users, sending their case notes electronically for use by other healthcare professionals

Provide routine administrative support for the unit, maintaining confidentiality at all times. This might include (this list is not exhaustive): email, telephone calls, scanning, typing, filing / disposal of sensitive material.

Essential

  • NVQ level 3 Business and Administration or equivalent and this could include knowledge and skills from previous employment.
  • Knowledge of Microsoft computer packages e.g. Excel, Word.
  • Knowledge of the Data Protection Act and confidentiality.
  • Minimum 4 GCSE passes or equivalent including Maths and English.

Desirable

  • An understanding of medical terms and knowledge of referral criteria would be desirable.
  • An awareness and understanding of the legal requirements of child protection and vulnerable adults.
  • An understanding of the law relating to UK GDPR Data Protection Act 2018

Experience

Essential

  • Communicating with a wide range of personnel, including face to face, responding to written, emailed or telephone enquiries and questions,
  • Dealing with highly sensitive or confidentiality issues and data.
