Job summary

We have an exciting opportunity for a Head of CEO Office to support the smooth executive management and governance of Freedom from Torture to ensure we deliver excellent services and influencing impact for survivors of torture in the UK.

Main duties of the job

This is a new post created to run the office of the Chief Executive, covering a wide spectrum of responsibilities to ensure sound executive management and governance of the organisation and delivery of our strategic priorities.

The role also leads for the charity on data protection and information governance and various other regulatory reporting and compliance duties.

Freedom from Torture is dedicated to healing and protecting people who have survived torture. We provide therapies to improve physical and mental health, we medically document torture, and we provide legal and welfare help. We expose torture globally, we fight to hold torturing states to account and we campaign for fairer treatment of torture survivors in the UK.

We campaign for national and global change, using evidence from our services and survivor voices to protect and promote survivors' rights and hold torturing states to account. We are proud to play a significant role in the global anti-torture movement. Survivors, active and empowered, are at the centre of all of our work.

Job description

Job responsibilities

1. Ensure efficient operation of the CEO Office:

- Responsible for the smooth running of the office of the CEO, ensuring coordination across the organisation and supporting the Executive Assistant to optimise the CEOs schedule and preparations for and follow up to key meetings.

- Helping to manage the business of the Senior Management Team including via forward planning.

- Manage CEO Office Team budget and expenses.

- Management of the Executive Assistant

2. Support the CEO in their leadership and management responsibilities:

- Maintain helicopter view to ensure that everything from governance/Senior Management meeting agendas to internal leadership communications and CEO external engagements is driving forward the organisations strategy and the CEOs goals.

- Support the CEO in strategic planning and futures thinking, production of the annual operational plan, Key Performance Indicator setting and reporting.

- Oversee coordination of performance dashboards and other reports to the Senior Management Team.

- Maintain the corporate risk register and ensure completion of agreed risk mitigations, working with Senior Managers.

- Oversee the register of internal policies, ensuring that these policies comply with regulatory and good practice requirements and are reviewed regularly, working with Senior Managers.

- Oversee delivery of action plans linked to staff satisfaction surveys and people-related strategies, working with the Head of Human Resources.

- Act as a focal point for Human Resources on the recruitment and onboarding of new Senior Management Team members and other CEO direct reports; develop job descriptions, propose interview questions and panels, working with the Executive Assistant.

- Support the CEO in resolving issues or challenges as they arise, working with the Senior Management Team.

- Ensure that there is adequate holiday/absence cover across the Senior Management Team and for each of the roles in the CEO office.

3. Governance support

- Support the Chair and CEO to ensure compliance by our Board of trustees with our Articles of Association, scheme of delegation and charity governance good practice.

- Maintain an overview of trustee skills and experience, identify gaps and manage the recruitment and induction of new Trustees, working with the Chair, CEO and Executive Assistant.

- Maintain helicopter view to ensure smooth preparation for and follow up to meetings, away days and training sessions for the Board of trustees, working with the CEO and Executive Assistant.

- Support data collection, reporting and management of whistleblowing complaints.

4. Information Governance lead

- Act as overall lead on all Information Governance (IG) issues across the organisation and chair the cross-organisational IG working group.

- Ensure robust systems in place for compliance and monitoring regarding any Subject Access Requests.

- Raise staff awareness of Data Protection and Information Governance issues, and develop and deliver training on Data Protection/IG to staff at all levels, including trustees.

- Lead on any information governance-related projects.

5. Oversight of regulatory responsibilities

- Timely reporting & ongoing monitoring of any external reporting to the Charity Commission, Office of the Scottish Charity Regulator and Information Commissioners Office.

- Advise senior managers on compliance elements of risk management.
