Job responsibilities
Job Summary
To support B&HF Leads in the effective administration and
management of the organisation. The Business
Support Assistant (BSA) will work under the direction of the Leads, striving to
enhance a number of key systems in both clinical and administrative areas.
The BSA will also champion quality and improvement programmes,
confidentiality, collaborative working, service delivery, learning and
development, promoting a positive working environment.
Main Duties and
Responsibilities
The following are the core
responsibilities of the BSA. There may
be, on occasion, a requirement to carry out other tasks. This will be dependent
upon factors such as workload and staffing levels:
Supporting the Leads
as required with projects, systems and procedures
Undertaking tasks
as directed by the Leads in areas of change management and continuous
improvement
Providing key
performance information as requested
Supporting the Leads
in monitoring compliance with health and safety legislation, providing
leadership and direction for staff
Contributing to
the development, implementation and embedding of an effective training
programme for all staff
Providing
administrative support for compliance registers, and make details of these
available to key stakeholders including the board or Leads as requested
Responsible for planning, managing and
maintaining the Leads diaries, ensuring
meetings are scheduled appropriately, necessary reparatory work
performed and documentation shared according to
agreed timescales
Coordinating
internal and external meeting arrangements, preparing agendas and producing
minutes for meetings, and follow up of actions arising
Supporting the
development of social media platforms on behalf of B&HF
Drafting
and disseminating newsletters on a quarterly
basis, and any other letters, memos of brief notes as requested by the Leads
In conjunction
with the Leads, setting and monitoring performance targets, identifying areas
for improvement to enhance patient services
Supporting Leads with
recruitment and onboarding administration of new substantive members of staff
as directed
In the absence of
a specific Lead, acting with other members of SLT or on own initiative, within
defined parameters of delegated responsibility, to progress matters and meet
deadlines
Responding to
e-mails or telephone calls as required exercising, discretion, initiative,
tact and sound judgement
Handling
quantities of potentially sensitive and personal information confidentially
with tact and discretion.
Develop and maintain efficient and comprehensive electronic filing system, and undertake
continuous improvement of B&HF information systems for the Leads
Manage venue
bookings for events and associated other services as requested
Confidentiality
We consider confidentiality and ensure minimal and appropriate
usage of all data we hold and access, to comply with NHS Information Governance
frameworks.
We ask staff to be vigilant about both their safety and the
patients; taking necessary action, as required, and feeding back any concerns
so that we can make improvements.

Training and Development
We ensure that people have the information, equipment and skills they
need to do their work. This includes bespoke training opportunities based on
identified gaps and agreed priorities with the team (e.g. Human Factors; trauma
informed care; Non Violent Communication).
