  • Can produce high quality, accurate and concise meeting notes
  • Can play a proactive and pivotal role in supporting diary management alongside liaising with stakeholders and colleagues
  • Can maintain attention to detail whilst multitasking and working with conflicting priorities at pace, demonstrating efficient and effective planning and time management skills
  • Have strong IT skills, including competence in MS Office applications, MS Teams, web-based engagement tools and experience of using a customer relationship management system (CRM) or similar database

Main duties of the job

The role of Business Administrator will be to support the daily needs of the regional engagement teams in line with a core set of standardised business processes. The post holder will:

  • Communicate effectively with senior NHS people leaders and other stakeholders.
  • Ensure effective delivery of engagement activities through face-to-face meetings and virtual meeting calls
  • Embed organisational and NES team values in work and connections
  • Provide administrative support to the National Engagement Service, with specific alignment to the North and Midlands and East regional teams

Job responsibilities

The role of the Business Administrator is to provide the National Engagement Service with proactive, high quality administrative support to the team which will contribute to the effective delivery of the national engagement strategy.

The role will be responsible for supporting the daily needs of the regional engagement teams in line with a core set of standardised business processes to ensure the National Engagement Service can effectively deliver a range of engagement activities including face to face network meetings and virtual meeting calls.

The responsibilities of the role include:

Events and stakeholder coordination

  • Assisting in the setting up and coordination of network meetings, delivered virtually and in person
  • Providing technical support during meetings.
  • Deliver excellent customer service to internal and external stakeholders.
  • Create accurate and concise summary notes of meetings and track key actions.
  • Maintain and effectively use the customer relationship management (CRM) database to record attendance data
Team support

  • Providing efficient diary management across the service.
  • Liaising with stakeholders and colleagues to enable us to engage effectively in a timely manner and anticipating challenges.
  • Participate actively in internal meetings as a key team member.
  • Contribute your knowledge and skills to the component parts of our operating model including national aspects of the Engagement Service.
Administration

  • Providing a high standard of administrative support utilising standardised operating processes.
  • Managing email inboxes effectively.
  • Prepare and send high quality accurate communications to our stakeholders.
  • Enabling good budget management through accurate record keeping and using value for money principles.
