Job summary

We're looking for someone to provide administrative support for a really exciting and successful programme which supports organisation development (OD) practitioners across the NHS to make a real difference in their organisations.

As a Programme Officer you will support the programme team in a way which enables the team to perform effectively and to the highest standard by setting up systems or arrangements which will assist the successful development and running of the project, for example:

  • coordinating meetings, events, and webinars,
  • organising team travel and accommodation
  • managing queries
  • supporting the development of communications, resources and web based materials, collecting and collating data for programme evaluation
  • working with the team to plan and deliver resources, events and support for the NHS OD community

Main duties of the job

  • able to use your initiative to support the effective delivery of the programme through excellent administrative systems
And if you have:

  • a keen eye for detail and the ability to collate and organise programme data to demonstrate impact
  • excellent IT skills and experience of key Microsoft packages including Outlook, Word, Excel and PowerPoint

Job description

Job responsibilities

This role provides effective programme and administrative support to the Do OD programme. Do OD is the national resource for organisation development in the NHS. We support OD practitioners, organisations and systems, and aim to strengthen their ambition and capability to make an impact on patient care.

You will be working as part of the team to help with the co-ordination, administration and delivery of the Do OD programme, developing effective administrative systems to deliver the programmes aims and objectives and report on its impact.

Responsibilities

  • Act as general contact for programme related queries, offering advice to all NHS organisations ensuring queries are dealt with in an appropriate and professional manner.
  • Respond directly to straightforward enquiries and provide first draft responses to more complex questions.
  • Manage the programmes social media accounts and work with the team to draft and send quarterly newsletters and ad-hoc email updates.
  • Maintain records of contacts and activities to ensure all details are accurate and up to date in order to effectively report on the programmes impact.
  • Provide the programme team with relevant data for quarterly reports and programme evaluation.
  • Provide assistance in administration of meetings, seminars and larger events (including our annual conference in February 2023) including taking formal and detailed minutes, agenda preparation, coordinating supporting documentation, arranging appropriate venue and hospitality needs [travel bookings etc]. Work with the events team to ensure relevant groups are provided with agendas, supporting documentation, minutes and venue details in good time.
  • Set up any administrative systems for the programme which will assist the programme team in providing a high-quality service
  • Make amendments to web pages by revising or uploading new website content.
  • Undertake outreach work (by phone or email) to scope the needs of our community and report findings to programme team.
  • Any other duties as may reasonably be required, consistent with the grade of the post
