Job summary

We are a busy 5 doctor GP practice and we require an enthusiastic, and versatile Medical Receptionist / Administrator to join our friendly team. General practice is a challenging environment that requires a flexible and calm approach with the ability to multi-task and work under pressure at peak times; given the nature of the position the applicant must have good communication skills.

The ideal candidate will be a highly motivated team player who has customer service/patient experience.

A working knowledge of SystmOne would be advantageous although training will be provided for the right candidate. IT and keyboard skills are essential.

Experience of working in a GP practice and knowledge of medical terminology are also advantageous but not a necessity.

Main duties of the job

You will receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. This will also include providing general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

Job responsibilities

Patient and Community Services

Face to Face contact with patients and visitors.

Welcoming patients and communicating with members of the practice team.

Handing completed repeat prescriptions to patient and checking names and address.

Process appointment requests for future appointments from patients by telephone and in person.

Deal with visits requests and liaise with GP and patient.

Administration

To have a thorough knowledge of all practice procedures.

To work in accordance with written protocols.

To work with various IT programmes and Clinical Systems.

Filing and Photocopying as requested.

Data entry.

Process patients change of address with a knowledge of practice area.

Scanning letters and filing into patients clinical record using a document management tool.

Making referrals to community services using SystmOne and NHS email.

Telephone

Have working knowledge of telephone system, during and after hours.

Telephonist taking calls and dealing with each request appropriately.

Respond to emergency calls appropriately.

Information Governance

  • Comply with all Information Governance Policies.
  • Comply with all systems for data security and protection.
  • Must complete annual IG training.

Premises and Equipment

  • Clear rooms after surgeries.
  • Ensure building security and report any problems.
  • Maintain stock and monitor stationery levels in all rooms.
  • Tidy waiting areas and surgery ready for next session.

  • Using personal security systems within the workplace according to practice guidelines.
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks.

  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.
  • Actively reporting of health and safety hazards and infection hazards immediately when recognised.
  • Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role
  • Undertaking periodic infection control training - minimum annually.
