Are you our new Fleet Coordinator?
The
purpose of this role is to coordinate and oversee the management of Mountbatten
Isle of Wight's fleet of vehicles, ensuring compliance with all relevant
regulations. The post holder will ensure that all vehicles are properly
maintained, serviced and MOT regularly, detailed records are kept up to date, and will coordinate emergency repairs of vehicles.

Main duties of the job
Key tasks will include:
Maintaining and managing a fleet inventory
database of all vehicles owned by Mountbatten IW, including service, repair
work, and MOT history and renewal dates
Carrying out, documenting and producing a
report of monthly inspection checks on all Mountbatten IW owned vehicles to
ensure in a roadworthy and safe condition
Ensuring all Mountbatten IW cars are
appropriately insured, and employee driving licence checks are documented
Carrying out employee driver car inductions and
familiarisation.
About
You:
You will have some experience of
managing an organisations fleet and have a good understanding of the
regulations related to vehicle maintenance and safety. Work within a healthcare
or charitable organisation is desirable.
You will have excellent
organisational skills and be confident in prioritising workload,
balancing demands and, working to deadlines. You will have good interpersonal
and communication skills with a can do attitude. Skills and experience in spreadsheet and database application management
are essential.
You will have a full clean driving
licence and be able to competentlydrive a variety of vehicles.

Fleet Coordination Tasks
Maintaining
a fleet inventory database of all vehicles owned by Mountbatten IW, including
service, repair work and MOT history and renewal dates.
Working
with the Director of Finance, ensure that all Mountbatten IW vehicles are
insured and registered.
Working
with the People Services department, ensure that employees have the correct
licences for driving the vehicle being driven and that these are held in the
employees HR file.
Coordinating
with staff using the vehicles to arrange maintenance / repairs, annual MOT and
servicing at a local garage meeting statuary deadlines.
Raising
purchase orders and gaining relevant approval for all vehicle repairs.
Carrying
out, documenting and producing a report of monthly inspection checks on all
Mountbatten IW owned vehicles to ensure in a roadworthy and safe condition.
Ensuring
internal and external cleaning of all Mountbatten IW owned vehicles at least
monthly and more frequently as required in the winter and when poor weather
conditions.
Checking
and replacing items in the vehicle winter pack, safety equipment, breakdown,
emergency and accident information kept in each vehicle monthly.
Obtaining
and ensuring all vehicles have a fuel card attached to the vehicle keys and the
PIN numbers for the fuel cards are issued to the relevant authorised employees.
Monitor fuel usage and investigate any discrepancies.
Responsible
for changing the digital combination lock for the key cupboard housing the
vehicles keys every 3 months and inform relevant employees who use Mountbatten
vehicles.
Coordinating
the process of any penalty charge notices, working with People Services to
notify employees of any payments due and penalty points.
Working
with the Director of Finance and drivers in liaising with insurance companies
following an accident.
Carrying
out employee driver car inductions and familiarisation.
Provide
regular fleet reports, as requested.
