Main duties of the job
JOB PURPOSE
To ensure the Hospice provides high-quality catering,
housekeeping, maintenance and café services to all patients, employees,
volunteers and visitors to the Hospice. As a member of the Hospice management
team you will also manage and contribute to the strategic development of our
services with a particular emphasis on estates management. You will be passionate
about the look and feel of the Hospice and Forget Me
Not Centre buildings and grounds, and will strive to maintain a quality
environment at all times.
To ensure that statutory, national and local governance
requirements, standards and guidance are met so that all premises, services and
facilities are safe, compliant and suitable for their intended use.
The Head of Facilities is responsible for:
- Kitchen and Hospitality Team
- Courtyard Café Team
- Housekeeping Team
- Facilities and Maintenance Team
- Gardening Contractors and Volunteers
The Head of Facilities is accountable to the Director of Finance & Resources.
About us
St Johns exists to promote and provide skilled and compassionate palliative care of the highest quality. The Hospice provides care in a variety of settings, directly serving our local communities from Grasmere to Garstang and from Sedbergh to Morecambe. The Hospice is rated outstanding by CQC.
Hospice care at St Johns is provided free of charge. The NHS contributes around 25% of the Hospices annual running costs, the remaining being obtained via the generosity of the public.
The Hospice was built in 1986, and comprises a 13-bed inpatient unit and is the base for our Community and various support teams. The Hospice is also home to a Courtyard Café, which is open to the public (7-days per week), and a brand new Family Support facility - the Forget-Me-Not Centre within the grounds.
What we do
St Johns Hospice provides Specialist Palliative Care services and support to those affected by life-shortening illnesses.
Our vision is to put local patients and families at the heart of everything we do to ensure the right care, in the right place, at the right time on the journey towards the end of life.
To provide these services, the Hospice employs around 220 staff and is well supported by our dedicated volunteers.
St John's is governed by a Trustee Board that takes overall responsibility for its work and is managed by a Senior Management Team.
The Hospice is a Charitable Incorporated Organisation and the responsibility for its governance and management falls on our Board of Trustees.

Day
to day management

Provide leadership of the
operational management functions for catering, housekeeping, maintenance and
café teams within the Hospice including regular one to one meetings, annual appraisals,
performance reviews, and managing sickness absence and annual leave.

undertake all mandatory training in line with Hospice policy, and that they
receive adequate training and development in all aspects of their role.
Catering
To manage the Head Chef in
order to:

Ensure provision of high-quality
food to patients, families, relatives and staff.
- Ensure patients nutritional requirements are met.
- Ensure adherence to Hospice, CQC and HSE catering standards.
- Maintain our level 5 score for Environmental Health
inspections.
Housekeeping
To manage the Housekeeping
Supervisor in order to:

Ensure the Hospice is clean, comfortable and meets the highest standards.
- Provide a dedicated staff
and volunteer housekeeping service.
- Ensure compliance with COSHH and infection control standards.
- Maintain KPIs through quality
audit processes e.g. PLACE (Patient Led Assessments of the Care Environment).
Maintenance
To manage the Facilities
Coordinator in order to:

Ensure smooth, uninterrupted daily running of the Hospice
facilities.
- Provide a dedicated staff and volunteer
maintenance team to deliver an in-house service for
minor repairs, painting and decorating, and basic maintenance tasks.
- Manage contractors to ensure
appropriate policies and procedures are met to preserve the health and safety
of patients and families, relatives, volunteers and staff at all times.
- Produce and implement an annual
planned maintenance schedule for the Hospice.
- Ensure medical asset databases
and maintenance databases are kept up to date.
- Operate and monitor an effective maintenance helpdesk system.
- Manage security arrangements
for the Hospice and Forget Me Not Centre.
Courtyard
Café
To manage the
Café Supervisor in order to:
- Deliver a high level of quality
food and customer service to our Café customers.
- Provide a dedicated staff
and volunteer team to uphold a high standard of customer service, cleanliness and a pleasant
environment.
- In conjunction with the
Director of Finance and Resources, develop the Café business to ensure that it
provides a sustainable income stream for the charity.
- Support Hospice departments
with internal and external events.
Estates
-
Ensure risk assessments and safe systems
of work are implemented and all relevant
codes of practice in respect
of hygiene, fire, and health and safety are implemented and maintained
- In conjunction with the Director
of Finance and Resources, develop and implement the Hospice
Estates Strategy.
- Take a hands on approach to
maintaining the look and feel of the Hospice and Forget Me Not Centre buildings
and grounds, completing minor repair
work where safe and appropriate to do so.
- Ensure our grounds are
maintained to the highest standard, providing a calm and safe haven for
patients and families.
- Liaise with external project
managers and contract
leads to ensure
completion of works in a safe, timely way, and in accordance with the St Johns Hospice
Contractor Agreement.
- Develop excellent relationships
with local contractors, in accordance with the Preferred Suppliers and
Contractors Policy, to ensure value for money is achieved. Maintain good record-keeping systems
to ensure service
is timely and contractor information is up to
date.
- Ensure the Business Continuity Plan
is robust and developed in partnership with the Senior Management Team and key
local providers.
- In conjunction with the
Director of Finance and Resources, set and manage revenue and capital budgets
for facilities.
- Coordinate the planning and
delivery of building projects, renovations and refurbishment works, liaising
with external consultants and contractors as necessary to ensure successful completion.
- Monitor, review and update all
facilities-related policies to ensure that they are fit for purpose and adhere
to relevant statutory and mandatory legislation.
- Participate in the on-call rota
and attend emergency call outs to the Hospice and Forget Me Not Centre outside
of normal working hours when required to do so.
Transport

vehicles.
