The Post holder will work as part of the Urgent Care Team providing weekend support to the department, Service Delivery and Performance Manager and other health care professionals. Working in conjunction with the Administration Coordinator to ensure the smooth running of the department.

The post holder will play a vital role in supporting internal operations, administrative duties and stock management activities to ensure the safe and efficient delivery of the service.

Job description

Job responsibilities

Working Pattern:

Weekend Shifts to cover:

Saturday & Sunday 10:00 - 16:00

Role Responsibilities:

Daily investigation and reporting of breaches for the UTC department, raising concerns or issues identified to the Clinical Lead and/or Service Delivery and Performance Manager as required.

Joining the LCW all services weekend Sitrep at 10:30 and 15:30, to provide the UTC service delivery updates. As well as providing any required staffing updates to the trust.

Creation of all sitrep reports and any required data in the agreed timeframes.

Providing efficient and effective administration support to the team and service whilst maintaining smooth running office systems.

Monitoring and actioning emails received into the generic UTC NHS mailboxes and responding to all telephone and email queries in a confidential and professional nature, prioritising where necessary.

Replenishing all stock in the clinical rooms and informing the admin coordinator if there are any ordering requirements.

Daily, auditing of FP10s, Resus Trolley (ensuring the physical checks have been completed by the nursing team), Cold Chain and IPC.

Updating and maintaining the service CQC board monthly and other CQC related tasks.

Ensure the department standards adhere to the required CQC standards.

Preparing and reviewing Shift lead logs and reporting, escalating any actions as and when needed.

Reporting and escalating any estate issues, IT issues or repairs.

Maintain and update all noticeboards and policy and procedures folders within the department as required.

Any ad hoc tasks and duties as required by the needs of the service.

Other Duties:

Supporting the Infection Prevention Champions for the Urgent Treatment Centre.

Oversee staff inductions and training to ensure all staff are trained to adequately fulfil their role. Whilst sharing details of any ad hoc ID access, log in or parking requests required with the Admin Coordinator.

Support service rota fill requirements as needed.

Creation and management of manual prescriptions packs, ensuring the department has adequate levels available and back ups if needed.

Support the maintenance of consistent high levels of quality, safety and performance across the organisation

Initiate the service escalations trigger points where applicable.

Maintain all Safeguarding and Health Visitor referrals processes and logs.
