Job summary
To be responsible for undertaking a
wide range of reception and administrative duties and the provision of general
support to the multidisciplinary team.
Duties can include but are not limited to, greeting and directing
patients, booking appointments, processing of information (electronic and hard
copy) including repeat prescription requests, patient registrations, patient
appointment letters and assisting patients as required. To act as the central point of contact for
patients, the distribution of information, messages and enquiries for the
clinical team, liaising with multidisciplinary team members and external
agencies such as secondary care and community service providers.
Main duties of the job
Make
new and follow-up appointments and triage bookings to ensure patients needs
are met at their first contact
Process personal, telephone and e-requests
for appointments
Receive
and make telephone calls as required.
Divert calls and take messages, ensuring accuracy of detail and prompt
appropriate delivery to ensure effective communication and elimination of
errors. Ensure all messages taken
relating to patients are passed to the relevant clinician promptly
Where
appropriate, and following the practices protocol, navigate patients to
alternative service providers
Process incoming and outgoing mail
Initiate contact with and respond to
requests from patients, team members and external agencies
Process referrals to external agencies such
as secondary care using the electronic referral system (ERS)
Action GP2GP tasks
Code data on SystmOne
Photocopy documentation as required
Data entry of new and temporary
registrations and relevant patient information as required
IInput data into the patients healthcare
records as necessary
Scan patient related documentation and
attach scanned documents to patients healthcare records
Process requests for information i.e. SAR,
insurance/solicitors letters and DVLA forms to the administrative team
Manage all queries (including administrative
queries) as necessary in an efficient manner
Support
all clinical staff with general tasks as requested

and formal requirements to new patients and those seeking temporary cover.
7.
Ensure procedures, including
accurate completion of new patient forms, are completed in order to ensure new
patients are fully informed and registered properly
8.
Receive and make telephone calls
as required. Divert calls and take messages,
ensuring accuracy of detail and prompt appropriate delivery to ensure effective
communication and elimination of errors.
Ensure all messages taken relating to patients are passed to the
relevant clinician promptly
9.
Record and receipt patient comments,
complaints and suggestions in line with the practices complaints procedure
10. Enter requests for home visits into the appropriate slot on SystmOne,
ensuring careful recording of all relevant details and provide paperwork as
required to GPs in time for them to carry out their home visits
11. Advise patients of relevant charges for private (non NHS) services,
accept payment and issue receipts for same in order to ensure the practice
receives appropriate payments
12. Enter patient information on to the clinical IT system in accordance with
practice guidelines as required, including promptly marking-in patients who
have arrived for appointments to ensure clinicians are aware that patients have
arrived
13. Retrieve and re-file patients paper records as required, ensuring strict
alphabetical order is adhered to so that notes can be quickly found
14. Ensure patients paper records are kept in good repair with all necessary
information on the outside cover clearly visible so that records are clearly
identifiable
15. Ensure patient confidentiality is maintained and recognise risks of
breach
16. On doctors directions, book ambulances in line with agreed ambulance
service guidelines
