Job summary

St Margarets Hospice Care has a fantastic opportunity for a Clinical Systems Administrator to join their team. This role is based in Taunton. You will join us on a full time, permanent basis and in return, you will receive a competitive salary of £25,000 per annum.

As our Clinical Systems Administrator, you will play a key role in enhancing the functionality and efficiency of our Electronic Health Record (EHR) system.

Main duties of the job

Your day-to-day work will involve:

  • Offering vital support and training to healthcare professionals, assisting them in navigating and utilising the system effectively.
  • Serving as a responsive point of contact for system-related queries and issues.
  • Collaborating with colleagues across the organisation to assist in system setup and development, making necessary amendments as agreed by the Clinical Systems Manager.
  • Playing a significant part in monitoring the system's performance, aiming to continuously improve its efficiency and reliability.
With a proactive approach and an ability to work harmoniously in a team, you will foster a supportive and efficient work environment. A background in systems administration and a willingness to learn and develop are essential to succeed in this role.

Job responsibilities

Basic User Support:

  • Championing best practice use of the EHR throughout the clinical teams.
  • Provide ad-hoc support and training to healthcare professionals on how to use and navigate the EHR system effectively.
  • Working with the clinical users, address queries and issues, collaborating with the Data and IT Services Team on more complex issues.

System Setup, Development and Configuration:

  • Assist in the setup, configuration, and testing of the system based on approved clinical requirements.
  • Work with the Clinical Systems Manager and other healthcare professionals to understand their needs and customise the system as per agreed protocols.
  • Ensure new users are set up and have appropriate role-based access controls.
  • Be aware of forthcoming system upgrades and updates affecting the EHR and their implications for St Margaret's. Ensure these are communicated to the relevant staff, considering additional training as necessary. Collaborating with the IT Services and L&D teams in rolling out these updates and upgrades.

EHR Database Administration:

  • Assist with the day-to-day management and maintenance of EHR.
  • Provide basic troubleshooting and resolution of issues.
  • Ensure amendments to the EHR are accurately applied.
  • Advocate for best practice in system administration and development.

Performance Monitoring and Improvement:

  • Monitor performance and contribute to efforts to improve efficiency.
  • Support integration efforts to improve EHR system performance, collaborating with the Clinical Systems Manager, Data and IT Services as necessary.
  • Run ad-hoc reports to inform clinical activity.
  • Identify and manage problems arising in the EHR related to data quality. Run audits and identify problem areas, subsequently devising and running targeted training to address any issues.

  • Verify and monitor usage of the EHR, ensuring users are consistent across all teams, basic information governance is followed, and standards of data entry are met.

Relationships:

  • Work with clinical teams on fit for purpose solutions that improve workflows operationally and systematically.
  • Collaborate with external suppliers and partners on solutions that integrate with the electronic health record.
  • Develop strong relationships with IT, Governance, Clinical and other back office functions to ensure the solutions developed fit in with wider organisational goals and objectives.
