Job summary

The post holder will provide an efficient medical secretarial service to the clinicians and their team in respect of Clinic work.

Main duties of the job

To work flexibly with and alongside clinical administration staff, consultants and Senior nursing teams when required. They will be trained in all aspects of the duties of a Medical Secretary, which includes understanding medical terminology. The post holder will be required to cover work for other clinical admin staff in the event of sickness/holidays.

Patients come from across the hospice's catchment area, which ranges from Ashby-de-la-Zouch and Atherstone in the east, to Cannock in the west and from Burton and Uttoxeter in the north, to Sutton Coldfield and Coleshill in the south.

Care is offered at the hospice's centres in Whittington and Sutton Coldfield and in patients' own homes across the region.

St Giles spends around £10million a year providing its specialist services and with little more than a third of this funded by the Government, the registered charity relies heavily on donations and income generation from the local community.

Job description

Job responsibilities

The role entails but is not limited to: -

To act as the point of contact for patients and external clinical teams on behalf of the clinicians; ensuring that all queries are answered with skill, sensitivity and in a courteous and professional manner.

Manage the Clinicians outpatient diaries efficiently.

Typing and despatch of clinical correspondence related to patients within Hospice agreed timescales and quality standards.

To ensure that urgent test results/correspondence is brought to the immediate attention of the Clinician and/or team.

Accurately inform patients/clinicians of outcomes and information to influence the effective service delivery for all patients including waiting list queries.

Transcribe Clinical outpatient letters

Support management in the preparation and validation of the waiting lists and performance data as and when required.

Liaise effectively with wards and departments within the hospital.

Escalate any urgent problems to Medical Director or Clinical Services Director.

Provide secretarial support/cover for colleagues during absence

Undertake necessary training as and when required by the Hospice

Assist in maintaining adequate stocks of stationary and replenish stock

Attend departmental meetings to take minutes if required.
