Job summary

The successful candidate will be joining us at an exciting period of the delivery and development of the Materials Management and Theatre Stores related activity.

Main duties of the job

To Receive and Issue Goods within a warehouse environment and to assist in providing and monitoring an efficient and cost-effective Materials Management service across the wards and departments within the site to include offsite satellite wards/depts. The postholder would be responsible for planning and delivering a comprehensive stock top-up service across allocated wards / departments, identifying required stock levels by analysing usage data and reviewing product / supplier options where needed.

Job description

Job responsibilities

To check and receive goods, of varying weight and size, arriving for departments and arrange for their distribution throughout the sites.

To book in receipts on the Finance (Purchase Order) System and ensure paperwork is correctly filed.

Liaise with wards/departments and arrange for the goods to be brought back if being returned to supplier. If goods ordered via Materials Management, the team will arrange return of goods if purchased from NHSSC.

Undertake daily/weekly stock takes using supplied electronic equipment and updating a computerised ordering system.

Implement and manage the Materials Management function at ward/department level to ensure the continuous care of patients is given as per Company and Trust standards, based on an agreed schedule of work.

Action and implement any ad-hoc request raised by the ward / department which may mean re-planning the existing daily schedule.

Act as a primary contact for enquiries and issues around the service.

To distribute, check and put away goods arriving from NHS Supply Chain to those wards and departments covered by the Materials Management team. At this point they check expiry dates to ensure the product is safe to use. If products are coming up to or have expired Materials Management Assistant will bring back to stores to record and dispose of or find another location for this to be used if still within date.

To develop a sound knowledge of products and substitutes used on the ward. Working with the clinical procurement team to obtain alternatives as necessary.

Continuously review stock levels and stock rationalisation based on analysis of usage on each individual ward area, anticipating required stock levels and problem solving where items are out of stock or other issue with initial product / supplier. Agree stock level and product suitability and costings with ward/departments report all savings achieved to the Head of Stores & Supply Chain.

Act responsibly and respectfully when helping patients and visitors.

Develop and improve the relationships between the Procurement department and ward staff.

Liaise with NHSSC regarding delivery arrangements and returns including shortages, discrepancies, damaged goods and plan delivery and return schedule for any items the materials manager has ordered.

To be able to demonstrate and train others within the department for stores and materials management services functions, including new starters during their induction process and apprentices during their programmes.

To work to any personal objectives which may be set.

To operate to any departmental policies and procedures considered appropriate by the Head of Stores & Supply Chain.

Take responsibility for the security of goods from point of receipt and ensure stock is put away in a timely manner and in its correct storage area.
