Job summary

Care Services Administrator 37.5 hours per week

Starting salary £24,267 per annum with room to develop and progress through the pay grade banding up to £24,873 per annum.

You can help make a difference! This is an exciting opportunity for a dynamic and resourceful administrator to provide vital support across both our Luton and Bedford locations.

- A confident communicator with a proactive working approach, willing to provide cross cover to other team members when needed. - An experienced administrator, proficient in the use of MS Office (Outlook, Word, and Excel) with strong organisational skills. - Able to work collaboratively or on your own initiative with a strong customer focus.

- SystmOne (this is not essential as training can be provided)

Main duties of the job

This is a flexible location-based role with approximately 2 days a week based at our Bedford site and 3 at our Luton site. This will be on a flexible rota and could change weekly depending on service needs. Your role will focus on supporting the day-to-day activities, helping our nursing and clinical teams to focus on providing great care. It will be important to build good working relationships while ensuring there is effective communication across the services and site locations.

Job description

Job responsibilities

Meet and greet all visitors and answer all incoming calls in a friendly and professional manner ensuring patients and their relatives are dealt with sensitively.

Manage clinical room bookings.

Communicate effectively with staff, patients, carers, volunteers and visitors, in the hospice, hospital and community.

Provide confidential proactive planning, organisation and administrative support to the care services including managing referrals, caseload management, contacting patients and booking appointments, booking transport and diary management.

Organise and support meetings, providing calendar invites, agendas, papers, minutes and actions.

Organise and support training/patient focused sessions either face to face or virtually.

Produce accurate, well-presented work and assist with data collection and data checking for reports as requested.

Work within SystmOne responding to tasks and keeping accurate patient records within a timely manner.

Ensure that the administrative operation provides a quality and responsive service to all users.

Escalate concerns to the Duty Manager when necessary.

Communicate with our Head of Corporate services to oversee planned maintenance visits.

Receive and be accountable for any monies or cheques received by way of donations, sale of goods etc.

Liaise with external partners.

To work collaboratively with the Lead for the Volunteer Team to find creative ways of attracting new volunteers.

To participate in the recruitment, induction and mandatory training of volunteers.

To have Safeguarding knowledge and awareness to be able to identify the signs, knowing what steps to take if you suspect abuse, knowing what to do if a child or an adult tell you they are being abused.

To adhere to Information Governance ensuring that personal information is handled legally, securely, efficiently and effectively in order to support delivery of the best possible care.

To provide admin support to any special projects as required
