Job summary

Mark Street Surgery is a well-established General Medical Practice located in Rochdale, Lancashire.

The Medical Receptionist is responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary practice team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. The Medical Receptionist will act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers. You will deal with sensitive medical information, so a caring customer service communication style is essential.

Knowledge of Emis Web would be an advantage, however full training will be given.

Job description

Job responsibilities

The following are the core responsibilities of the receptionist. There may be on occasion, a

requirement to carry out other tasks; this will be dependent upon factors such as workload

and staffing levels:

a. Dealing with patchs

b. Answer incoming phone calls, transferring calls or dealing with the callers request

appropriately

c. Signpost patients to the correct service

d. Initiating contact with and responding to, requests from patients, team members

and external agencies

e. Read code data on to Emis Web

f. Photocopy documentation as required

g. Data entry of new and temporary registrations and relevant patient information as

required

h. Input data into the patients healthcare records as necessary

i. Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA

forms to the administrative team

j. Manage all queries as necessary in an efficient manner

k. Carry out system searches as requested

l. Maintain a clean, tidy, effective working area at all times

m. Monitor and maintain the reception area and notice boards

n. Support all clinical staff with general tasks as requested

o. Complete Mail Manager on a daily basis i.e. lab reports, smear results, out of

hours reports, GP2GP file electronic records, discharge summaries, tasks from

clinical staff and send letters/texts to patients.

p. Complete and process all new patient registrations including amendments and deductions and all PCSE queries q. Manage, code and file all Lloyd George paper records, including arrival of new patient notes and deceased/removal of patient records.

In addition to the primary responsibilities, the receptionist may be requested to:

a. Partake in audit as directed by the audit lead

b. Support administrative staff, providing cover during staff absences

c. Action incoming emails when necessary

d. Scanning of patient related documentation and attaching scanned documents to

patients healthcare records

e. Complete opening and closing procedures in accordance with the duty rota

f. As required processing repeat prescriptions, ensuring they are processed

accurately and efficiently
