Job summary

We're looking for a candidate with a strong background in office administration, ideally someone who has experience managing day-to-day operations in a busy office environment.

Main duties of the job

Providing an efficient and organised administration service 2 * Answer the telephone for incoming Talking Therapies calls, taking and passing on messages, and forwarding as required 3 * Checking answer-phone messages and pass on as appropriate 4 * Make assessment appointments for Talking Therapies, communicating appropriately with patients and staff 5 * Make initial appointments between patients and Therapists, updating electronic calendars, and communicating with patients as necessary 6 * Make outbound telephone calls to patients or other service users to pass on messages as required 7 * Print letters or undertake photocopying duties as required 8 * Receive, distribute and despatch mail, ensuring confidentiality is maintained 9 * Assist with establishing and maintaining filing systems 10 * Deal with enquiries, signing in visitors 11 * Greet all visitors reporting to the reception and communicate their arrival to the relevant member of staff and escort visitors to the appropriate person 12 * Carry out clerical tasks, using both manual and computerised systems 13 * Collect and collate service or performance information as required by their line manager 14 * Any other duties as reasonably required

NHS Warrington Talking Therapies has been providing psychological interventions to the community of Warrington since 2011 and is part of the charity Mental Health Matters. The service is designed to help anyone registered with a Warrington GP, to deal with common mental health problems. These may include depression, anxiety, panic, phobia, obsessive compulsive disorder (OCD) or post-traumatic stress disorder (PTSD). The service is staffed by a team of highly skilled mental health professionals such as Psychological Well Being Practitioners and Therapists specialising in CBT and EMDR.

About the role The post holder will be required to provide a high quality and effective administration service. Key components of the role include providing an efficient and professional reception service ensuring people using or contacting the service are treated with respect to ensure that enquiries are managed effectively, liaising with other team members as required. Greeting all visitors and people who use our service including monitoring the flow of people to and from consulting rooms, ensuring that the electronic appointment system runs safely and effectively. Using interpersonal skills to assist in and manage difficult conversations, helping to ensure a positive experience for those accessing our service. Excellent organisational skills and attention to detail, being able to manage multiple tasks prioritising as required. Good record keeping with an understanding of Data Protection and Confidentiality are essential to this role. General administration duties to include verbal and written contact with those accessing our service, the members of the Warrington Talking Therapies team, other professionals and any general enquiries. Booking assessment and treatment appointments using an electronic booking system, accurate typing skills to include inputting data and referral information from verbal and digital sources, updating electronic records, processing and distributing incoming and outgoing mail, maintaining filing and archive systems, and other administration duties as required. About you You will be able to show compassion to the people who access our service, their experiences and their aspirations. You will be able to work with others to achieve the best outcomes for individuals using our service. You will be responsible, accountable and hold yourself to the highest standards in every interaction with others. You must be able to follow service policies and procedure and embody a conscientious approach with a flexible attitude and the ability to cope with a busy office and varied workload where accuracy and attention to detail is essential. It is essential that the post holder has a good basic level of education, which must include GCSE (or equivalent) in English Language at Grade 4 or above and an NVQ Level 2, or above, qualification. You must have at least 1 year's recent experience in an administration role. It would be helpful to have experience of using electronic applications and database systems; however this is not essential as training will be provided.
