Job summary

As Lung Health Check Administrator you will be providing general administrative support to the Lung Health Check Manager, Department Head and Deputy Heads, you will have a key role in supporting the smooth running of the service. Duties will include scheduling and liaising with healthcare agencies with any staffing requirements. Youll keep in regular contact with the mobile Lung Health Check sites., and support the team by organising the cleaning schedules, arranging the purchasing and delivery of stock and maintaining inventories.

Full-time or Part-time will be considered - 25 to 37.5hpw

Main duties of the job

With previous experience in an office administration role, you will have developed strong IT, organisational and planning skills, with an accurate approach and a keen eye for detail. You will be a strong communicator, able to build effective working relationships, both within and outside the organisation. Able to work collaboratively as part of a team as well as on your own initiative. Youre able to remain calm under pressure, work to tight deadlines and adapt to changing priorities. Experience of working within a healthcare setting would be beneficial.

There is no line management responsibility associated with this role.

Job Purpose:

Support the day-to-day operation of the Lung Health Check (LHC) service with administrative functions.

Maintenance of inventory and ordering of supplies, supporting logistics and staff rostering.

Support the LHC Operations Manager, Head of Department, and deputies with administrative duties.

Key Relationships

Cobalt staff team, mobile site staff, logistics, support engineers and patients.

Key areas of responsibility will include:

Specific Duties

  • To provide administrative support to the LHC Operational Manager, Head of Department, and deputies to include scheduling, organising logistics, coordinating meetings and events.
  • To maintain contact with each mobile LHC site daily.
  • To liaise with external healthcare agencies for staffing requirements
  • To organise the cleaning schedules for mobile and relocatable units working with external providers.
  • To cover for the CT/PT CT Administrator and their duties.
  • To arrange the purchase of stock for mobile units, maintaining an inventory of stock levels
  • To maintain records relating to the logistics of mobile units.
  • To support the Head of Department with new departmental staff induction training.
  • Attend department meetings as appropriate.
  • Support the departments SharePoint site with relevant documents.
  • Receive, screen, and make telephone calls on behalf of the department to include general enquiries from outside sources such as patients, and other agencies and resolving enquiries where possible, taking messages or redirecting calls as appropriate and ensuring that adequate and timely action is taken.
  • To book external venues for meetings when required.
  • Other general administrative duties. Maintain staff rosters for all scanners including mobile units in accordance with operational policies and procedures, health and safety and risk management.

  • Monitor and maintain sufficient and appropriate equipment and supplies to support the department.

Teamwork

  • To work collaboratively with other departments within Cobalt.
  • Taking an active part in team meetings
  • Champion the professional integrity of the organisation.

  • Advise and mentor staff members, particularly junior staff members.
