Rota Administrator (Extended Access)

Job summary

We are looking for an experienced, highlyorganised RotaAdministrator to coordinate GP and nursing rotas for our evening and weekend extended access hubs across Merton.

This is a hybrid role, with a minimum of three days per week on site at our Civic Centre / hub location and theremainderworked from home by agreement.

UsingRotaMaster, you will plan andmaintainsafe, compliant rotas, proactively managing gaps and working closely with practices and Primary Care Networks to ensure service continuity.

You will be the first point of contact for rota queries, providing clear,timelycommunication to GPs, nurses, hubstaffand managers.

The role also supports finance and governance processes, including checking sessions worked, supplying data for payments and producing simple rota and activity reports.You should bring strong NHS administrative experience, excellent IT and Excel skills, and confidence working with busy multi professional teams.

Main duties of the job

  • Plan, create and publish extended access rotas for clinical and non clinical staff in Rota Master.

  • Ensure rotas provide safe staffing and appropriate skill mix for all evening and weekend clinics across hub sites.

  • Ensure rota patterns and staffing levels comply with the extended access service specification and relevant PCN DES requirements.

  • Coordinate annual leave, study leave and other absences, ensuring cover is arranged, recorded and authorised.

  • Proactively identify rota gaps and work with practices, PCNs, bank staff and external providers to secure cover, escalating unresolved risks.

  • Maintain auditable records of rota changes, including requests and approvals.

  • Monitor rota fill rates, short notice changes and unfilled shifts, and highlight emerging issues.

  • Ensure RotaMaster is accurate and up to date at all times and matches the Emis Appointment Books
