Job summary

We are looking for someone to join our welcoming and friendly team to support with with the day to day running of the Federation. We are ideally looking for someone part-time (approximately 30 hours a week) but would consider some flexibility on this for the right candidate.

We welcome applications from people in the local area. You will be required to work on site initially, but the option to work from home for some of your working hours will be reviewed after the first 3 months.

Main duties of the job

To provide administrative support to the day to day running of North West Leicestershire GP Federation. The areas of delivery will be defined by the Management Team, but may include reception duties, HR administrative duties, and finance administration duties.

The role will report to the HR Manager and work alongside other Federation Support Officers and the wider Federation team.

About us

North West Leicestershire GP Limited is a federation of 12 General Practices who work collaboratively to offer services at scale for our patients. The Federation is responsible for the running of the North West Leicestershire Primary Care Network which offers services to approximately 116, 000 patients.

Interviews for this role are likely to take place week commencing 17th November 2025.

Preparing and organising appropriate meetings i.e. agenda setting, preparing and updating meeting action logs, distribution of papers and taking minutes

Responding to and directing telephone calls, including taking messages when required

Monitoring of the Federation email accounts

Maintaining internal systems, i.e. TeamNet, Systm One, MS Teams, Federation Website, Social media

Opening and distributing incoming post

Supporting with any administrative duties for internal services, including appointment booking and rota management

Updating local policies and procedures

Supporting with CQC registration activities including preparing for inspection

Providing an effective Human Resources administration service relating to the employment lifecycle

Supporting with HR recruitment processes including DBS

Supporting in maintaining accurate HR records for all employees, including documentation relating to compliance

Undertaking statutory and mandatory training as deemed appropriate.

Developing and maintaining effective working relationships with colleagues.

Adhering to all Federation policies and procedures.

  • Meets DBS reference standards and has a clear criminal record, in line with the law on spent convictions.
  • Willingness to work flexible hours when required to meet work demands.

Desirable

  • Current full driving licence and sole use of car.

Qualifications

  • English & Maths at a minimum of GCSE grade B or 6

Experience

Essential

  • IT Literacy.
  • Experience of working within a similar role.
  • A working knowledge of Microsoft Office Applications, including Word, Excel & PowerPoint.
  • Ability to manage and prioritise work and meet deadlines.
  • Excellent written and oral communication skills and excellent customer care skills.
  • Excellent attention to detail.
  • Ability to deal with confidential information and maintain confidentiality.
  • Ability to work as part of a team.
  • Flexible and proactive approach to work
  • Have a willingness to learn.
  • To be able to work independently and use own initiative.
