Practice Manager - Sunray Surgery

Job summary

Job Purpose:

Sunray surgery is a well-established surgery based in the heart of Tolworth. The surgery was acquired by Kingston GP Chambers (KGPC) in Spring 2023 and has exciting plans for significantly increasing its patient list following extensive regeneration of the surrounding areas.

The Practice Manager will be responsible for the overall management of the practice, and will be supported by the Practice Site Manager in ensuring the practice runs smoothly to enable the best clinical care to be provided to patients. The post holder will also work closely with a number of key internal stakeholders to ensure training, compliance, staffing and recruitment matters are dealt with appropriately.

Following induction, the post holder will be expected to work independently with minimal supervision and to comply with regular performance reporting requirements to KGPC Head Office.

Main duties of the job

Key Responsibilities:

  • Oversee all administrative and operational aspects of the practice
  • Manage and support clinical and non-clinical staff, fostering a positive team environment
  • Lead financial planning, budgeting, and reporting activities
  • Ensure compliance with NHS standards, regulations, and quality frameworks
  • Develop and implement practice policies and procedures in line with CQC guidance
  • Coordinate patient services to maintain high levels of satisfaction
  • Liaise with external stakeholders including NHS bodies, suppliers, and contractors
  • Drive continuous improvement initiatives and support digital transformation efforts

What Were Looking For:

  • Proven experience as a GP Practice Manager or in a senior healthcare management role
  • Strong leadership and people management skills
  • Excellent organisational, communication, and interpersonal skills
  • Sound knowledge of EMIS clinical system, NHS systems, regulations, and funding mechanisms
  • Financial acumen and experience managing budgets
  • Ability to work independently and manage competing priorities

About us

Kingston GP Chambers is a Federation of all NHS General Practices within the Royal Borough of Kingston upon Thames. It was founded in 2008 as a limited company whose shareholders are all 20 GP Practices within Kingston. The company is led by a Board of Directors who are also GP Partners in their own Practices within Kingston.

Kingston GP Chambers has worked collaboratively with both secondary care and the private sector. At present we provide community clinics for Dermatology, Urology, Neurology, Dementia and Diabetes.

In addition, Kingston GP Chambers are at the forefront of improving patient access to primary care. We deliver a comprehensive extended hours service offering GP appointments across three hubs in the evenings Monday to Friday, over the weekend and on Bank Holidays.

Kingston GP Chambers has the ability to respond rapidly, and we have continued to demonstrate the capability to provide high-quality, innovative and timely solutions to improving patient care and experience.

We work closely alongside the other GP Federations in Southwest London to continue the government's five-year forward plan and deliver patient services in the community.

We aim to continue to grow as we are increasingly recognised as the provider of choice for extended, enhanced and urgent GP services. We also expect an increasing role as we support, reinforce and develop the position of general practice as the core building block for an increasing range of jointly-provided services.

Staff Management

  • Work with the Kingston GP Chambers (KGPC) management team to oversee the general management of the practice, ensuring that staff achieve their primary responsibilities.
  • Oversee the HR functions, liaising with the KGPC Workforce Lead on areas such as recruitment, relevant checks, contractual issues, appraisals and staff performance.
  • Workforce planning, ensuring a skill mix and staff have the appropriate level of training to enable them to carry out their individual roles and responsibilities effectively.
  • Provide advice and support to the staff to ensure effective team working.
  • Facilitate practice meetings and ensure an up to date action plan.

Finance and Business Management

  • Financial accountability, including managing budgets and forecasting.
  • Oversee the financial systems and bookkeeping, ensuring accurate accounting, including end of year processes with the accountant.
  • Oversee the preparation of the monthly payroll, ensuring accurate reporting and submissions.
  • Ensure the practice explores all opportunities to maximise income and reduce expenditure in collaboration with the KGPC management team.
  • Oversee QOF and commissioned services to ensure targets are met.
  • Produce business cases for new services, as required.
  • Ensure the practice maintains compliance with its NHSE contractual obligations.

General Management

  • Liaise with the Primary Care Network (PCN) and locality commissioners, attend meetings and promote collaborative working.
