Job summary

We're looking for an experienced, detail-orientated Payroll and Pensions Officer to manage and process payroll operations, ensuring accuracy and compliance with statutory requirements, and the efficient administration of pension schemes.

The role will involve liaising with HR and Finance departments, employees and managers and external agencies, ensuring adherence to UK employment and pension legislation.

Main duties of the job

oCollate and process the monthly payroll data

oMaintain necessary payroll records and personal staff files including timesheets and other input records, ensuring they are verified and audited as necessary

oDeal with payroll and pensions associated forms, correspondence and documentation

oAdminister the NHS pension andother pension schemes, including auto-enrolment and opt-out processes

oManage the end of year NHS Pensions SD55 upload

oEnsure compliance with GDPR in handling payroll and pension data

oEnsuring full compliance with internal Payroll Procedures, e.g., ensuring that all input documentation received is authorised, then prepared and certified.

oSupport internal audits related to payroll and pensions

oTo review, build and prepare payroll reports for management including payroll summaries, cost analysis and other ad hoc reports

oAct as the first point of contact for payroll and pension-related queries

oResponding to general pay queries raised by employees, Managers, HR and other departments in a timely, effective and professional manner.Investigating issues and offering explanations to sensitive and/or complicated payroll matters

oPropose changes to existing payroll procedures, where these may bring improvements to the efficiency of current working practices.

oWork collaboratively with HR and Finance teams to ensure data accuracy and seamless operations

oMaintain up-to-date knowledge of NHS Pension regulations and advise on changes

We deliver Urgent Care services in collaboration with the hospital and GP practices in York, Scarborough, Whitby, Malton and Selby. We also provide community-based frailty care, which focuses on treating people in the community where we can. We also aim to shift services into the community where possible, for example our community diagnostic centres run in partnership with the Acute Trust.

Payroll Management

o Collate and process the monthly payroll data

o Manage adjustments for overtime, sick pay, maternity/paternity and other payroll changes

o Maintain necessary payroll records and personal staff files including timesheets and other input records, ensuring they are verified and audited as necessary

o Deal with payroll and pensions associated forms, correspondence and documentation

Pension Management

o Administer the NHS pension

o Administer other pension schemes, including auto-enrollment and opt-out processes

o Ensure pension contributions are calculated accurately and submitted into NHS Pensions Online within deadlines

o Manage the end of year NHS Pensions SD55 upload

o To support with reviews of pension providers in respect of private services and / or set up new pension schemes as appropriate

Compliance and Reporting

o Ensure compliance with GDPR in handling payroll and pension data

o Ensuring full compliance with internal Payroll Procedures, e.g., ensuring that all input documentation received is authorised, then prepared and certified by the Payroll Officer within the designated timetables to ensure prompt payment to individuals.

o Support internal audits related to payroll and pensions

o To review, build and prepare payroll reports for management including payroll summaries, cost analysis and other ad hoc reports

Colleague Support

o Act as the first point of contact for payroll and pension-related queries

o To provide robust advice to employees with regards to payroll and pensions

o Responding to general pay queries raised by employees, Managers, HR and other departments in a timely, effective and professional manner. Investigating issues and offering explanations to sensitive and/or complicated payroll matters

Continuous Improvement

o Propose changes to existing payroll procedures, where these may bring improvements to the efficiency of current working practices.

o To support with integrations between systems which have an impact on payroll and pension process, such as Rota systems

o Work collaboratively with HR and Finance teams to ensure data accuracy and seamless operations

Continued Professional Development

o Maintain up-to-date knowledge of NHS Pension regulations and advise on changes

Qualifications

Essential

  • Professional payroll qualification (e.g. CIPP or equivalent) or proven relevant experience
  • GCSE qualifications, including Maths and English
  • Strong knowledge of UK payroll legislation, including PAYE, NIC, statutory payments, and pensions.
  • Detailed knowledge of current pension schemes particularly NHS Pensions and other private pensions.
  • Proficiency in MS Office, particularly Excel.

Desirable

  • Knowledge of NHS Agenda for Change Terms and Conditions
  • Previous NHS Payroll experience
