We have an opportunity for a part-time Assistant to join the St Lukes Hospice team working 25 hours a week. Monday Friday 9.30am TO 2.30pm

This is a role to work with existing colleagues in our Fundraising Support Team.

JOB TITLE: Fundraising Support Assistant

REPORTS TO: Database and Support Manager

KEY WORKING RELATIONSHIPS: Database & Support Manager, Income Generation team and Fundraising Support Officer

PURPOSE:

To play a central role within the Income Generation team, supporting all aspects of administration relating to fundraising activities.

The position is an integral part of the Income Generation team at the Hospice, and so the post holder is expected to be a positive and reliable team player, supporting the immediate and long-term goals of the team.

Key Tasks and Responsibilities

Being the first point of contact for supporters via the telephone, email, website, letter and in-person. Handling all donations and fundraising monies and communicating with donors effectively, with particular sensitivity around bereaved supporters.

Facilitating ongoing relationships by providing excellent standards of donor care through timely and prompt thanking and stewardship of donors.

Recording information and all interactions with supporters accurately on the fundraising & lottery databases. This includes creation of new records, updating existing records, assisting with the management of online donation pages and communicating with supporters regarding their donations, subscriptions and fundraising activities.

To maximise Gift Aid income by ensuring Gift Aid declarations are correct and up to date, with supporters being given every opportunity to opt in.

Process Income Generation monies received at the Hospice ensuring donations and Lottery monies are in a Bank ready format on a daily/weekly basis and that electronic payments are actioned in a timely manner to facilitate financial reports.

To ensure compliance with all relevant legislation including GDPR and information governance, whilst maintaining confidentiality at all times.

Input of data onto Lottery database in a timely and accurate manner to ensure that the weekly draw deadlines are met.

Complete weekly procedures in relation to Lottery external canvassing, ensuring that all new members and cancellations are actioned within timescales.

Assist with facilitating raffles and other promotions relating to the Lottery.

Undertake online returns for the Gambling Commission in relation to weekly draws and raffles.

To undertake general administrative duties and provide support across the whole Fundraising team as required, including the preparation and mailing of information packs to event participants, assisting with the distribution of seasonal fundraising collateral and thanking supporters for their fundraising efforts.

Other duties

To open and distribute all Hospice incoming mail

To show interest and engagement in Hospice wide events and clinical developments

To be a point of contact for our weekly secure cash handling collection

General

To adapt to any new technology that may be introduced

To adhere to all St Lukes Hospice policies and procedures at all times and ensure that staff and volunteers under supervision do the same

To have an understanding of the ethos and work of the Hospice in order to act as an effective spokesperson to the general public and in the local community as and when required

To undertake any other reasonable tasks as may be requested from time to time
