Job summary

Ashgate Hospice understands the value of good governance. This is an exciting opportunity to be part of the new Governance Team working together to support excellent governance across the hospice. As Governance & Executive Support Assistant, you will be taking on key responsibilities including working with Board of Trustees, the Leadership Team and decision-making groups to help ensure that the hospice can deliver its strategic ambitions and secure on-going compliance with the relevant regulatory framework.

Main duties of the job

The postholder will support the Head of Corporate Governance in ensuring the delivery of a comprehensive corporate governance service to the hospice. The postholder will be required to work closely with Trustees, Chief Executive and Directors to support the effective leadership of the hospice and ensure compliance with the charity legislation. This will include working with the Board of Trustees, the Leadership Team and decision-making groups to help ensure that the hospice can deliver its strategic ambitions and secure on-going compliance with the relevant regulatory frameworks. This includes ensuring that Committees of the Board are conducted in line with Ashgates Articles of Association and Standing Financial Instructions and are conducted in line with their agreed Terms of Reference.

With the Head of Corporate Governance, ensure the Board of Trustees, their Committees and key Groups are properly constituted, convened, operated and supported in accordance with Ashgates Articles of Association and the relevant regulatory frameworks. Provide the full range of specialist company secretarial services to the Committees of the Board allocated to the post holder including planning and organisation of meetings, the timely planning, preparation, submission and issuing of agendas, reports, supporting papers and minutes for all meetings, ensuring minutes of the meetings are record, decisions made and their context. Fully supporting the Directors of the Leadership Team in providing secretarial, professional and confidential personal assistant services. Actively managing diary commitments, organising appointments and meetings to ensure effective time management. Assisting in managing workflows, outputs and deadlines, focusing time against priorities ensuring members are aware of any diary commitments. To attend and minute the Committees of the Board and other Working Groups and facilitate the smooth management including inviting of external presenters and to manage any ad hoc requirements. To provide specialist high level support to the Governance Framework including advising on governance processes etc.

  • Standard Grade/O/GCSE Grade English or equivalent.
  • ECDL or equivalent experience

  • Substantial experience of providing secretarial support at management levels.
  • The ability to organise workload without supervision and to complete allocated tasks within timeframe.
  • Proactive ability to anticipate difficulties and deal with them.
  • Experience of organising meetings, workshops, events.
  • Experience of managing communications and relationships with senior managers.
  • Shows empathy to the client group and hospice movement generally.

Desirable

  • Understanding of the roles and relationships between the Chair, Trustees, Chief Executive and senior leaders.
  • Experience of working within a Healthcare setting or charity.
  • Experience in governance support
  • Experience of board and corporate governance systems.

  • Highly proficient user of Microsoft Word, Excel, Powerpoint, and Adobe Acrobat and ability to learn to use new tools.
  • Strong oral and written communication skills.
  • Excellent presentational skills.

  • Ability to process and receive highly complex, sensitive and confidential information in an appropriate manner.
  • Ability to work with a high degree of autonomy using initiative and organise own workload with minimal supervision working to tight and often changing timescales.
  • Excellent written communication skills with a fluent writing style and practical use of the English language and grammar.
  • Excellent literacy and numeracy.
  • Ability to organise, create, file and retrieve electronic and manual records.
