At BPAS we are looking for a proactive Admin Coordinator to join our Telemedical Services team in Richmond. This is a 36-hour per week role, with the opportunity to work in a hybrid capacity once initial training and competencies are signed off. As an Admin Coordinator, you'll play a key part in the smooth running of our telemedical service. You'll be responsible for delivering high-quality administrative support and will deputise for the Treatment Unit Manager on administrative matters when required.
About You
We're looking for an experienced senior administrator, ideally with a background in healthcare, though this isn't essential.
You'll be an organised, detail-oriented professional with a strong grasp of management principles, including planning, coordinating workflows, & motivating a team. You'll also be confident using a range of IT systems, including MS Office & bespoke databases.
We are looking for:
- Understanding of clerical procedures, including document checking, telephone handling, and reception duties
- Good attention to detail, supportive towards colleagues and clients and is an effective team player
- Strong interpersonal and communication skills, with the ability to engage effectively at all levels, internally and externally
- Experience of managing a team would be an advantage
Main duties of the job
- Ensure adequate admin staffing levels with the necessary skills to meet service needs; participating in the recruitment, induction and training of staff.
- Monitor employee performance against agreed quality standards and carry out one to one interviews with staff in order to identify development needs and opportunities.
- Maintain accurate staff records in relation to time sheets, sickness and holidays and input information into the payroll adjustments database.
- To assist in the implementation of procedures to meet Health and Safety legislation, i.e. risk assessments, COSHH etc.
- To liaise with the Lead Nurse(s) to ensure the smooth running of the unit.
- Supervise the completion and transmission of all the necessary client administration in a timely and accurate manner, i.e. the preparation of medical case notes, the completion of forms, discharge information and the patients register.
- Undertake and supervise general office duties such as word processing and spreadsheet systems, handling of daily post, filing and archive systems.

Salary: £33,510 to £35,979 per annum - inclusive of OLW and depending on skills and experience
Shift Pattern: 36 hours per week between the parameters below. Set hours will be discussed at the interview stage; Saturdays will be required only to cover sickness and annual leave.
Monday to Thursday 08:00 - 18:00 | Friday 08:00 to 16:00 | Saturday 08:00 to 18:00
