Are you an experienced Estates and Property Administrator looking for a new challenge?
BPAS are looking for an Estates and Property Services Administrator to come and join the team full time, 36 hours per week. This is a hybrid position where you will be required to work at our Head Office in Leamington Spa one day a week.
The successful candidate will provide administrative support and assistance with contracts and activities. You will provide national property services support to all BPAS locations.
You will work to administrate a first line telephone / email help-desk dealing with Estates issues for any BPAS location.
About You
You'll be a people-person, who enjoys communicating with different people internally and externally. You'll have exceptional time management and a high attention to detail in all areas of your work. You will be confident using Windows based computer packages including spreadsheets, databases and word processing.
You will have strong problem solving and analytical skills in a diverse range of tasks and be able to provide a positive, solution-orientated approach to estates and property activity.
Main duties of the job
- Provide assistance with the updating of a database for Maintenance/Service Contracts ensuring requirements of the departments are met.
- To co-ordinate with the diaries of colleagues within the Estates department, to ensure that contract renewal dates are identified in good time to allow the department to review contracts prior to renewal.
- Provide administrative assistance with the reconciliation of service sheets, validate invoices and orders in accordance with delegated authority limits. To investigate any discrepancies with suppliers
- To provide a first point of reference as a help desk to BPAS nationally, on issues relating to Estates & Property Services and make sure these are dealt with in a timely manner
- Provide assistance with auditing requests from the clinics.
- To challenge contractor quotes to encourage best practice or product, best price, best terms by negotiation, by liaising with the Property Supervisor as required.
We are also looking for:
- Proven administrative experience in a computerised Estates Department
- Ability to multi-task and prioritise appropriately
- A methodical and well-organised approach in delivery of best value contracts of equipment procurement.
