At St Clare Hospice, were looking for a Voluntary Development Coordinator to be the welcoming face and guiding hand for new volunteers as they begin their journey with us. This pivotal role ensures our volunteers feel valued, supported, and empowered from day one.

We are seeking a Voluntary Development Coordinator to co-ordinate the management of our volunteer services. This role is the welcoming gateway for new volunteers and a key support for volunteer supervisors across the organisation. Youll ensure our volunteer programme runs smoothly, aligns with strategic goals, and continues to grow in impact and reach.

Main duties of the job

To manage the operation volunteer services. Providing efficient recruitment processes, data, support to Volunteer Supervisors and link with the overall volunteer strategic plan to meet the needs of St Clare Hospice.

Job responsibilities

Work with volunteer supervisors across the organisation to identify, on an ongoing basis, opportunities to involve volunteers in the most beneficial ways.

Support supervisors to be part of the writing role descriptions for new volunteer roles. Ensure role descriptions adequately detail the tasks to be undertaken, and the experience, knowledge and skills required.

Advertise roles via internal and external media, and other methods. Lead on recruitment campaigns, use the Communications team to support in this to find the best candidates for roles.

Volunteer Journey, Database and Induction

Keep an accurate record of where all roles are advertised and review the success of different techniques.

Respond to enquiries and applications from potential volunteers in a timely and professional manner.

Support supervisors undertake effective interviews or vetting processes as appropriate for the role.

Contact applicants to confirm conditional offer of a role.

Manage the collation of pre-placement checks for candidates where required, including obtaining references, DBS, checking appropriate insurances and professional memberships and risk assessments for volunteers with additional needs.

Work with Volunteer Development Manager and volunteer supervisors, to develop and implement a volunteer training programme, which ensures that volunteers receive training necessary for the role they are undertaking.

Review and record training records and development needs of all volunteers as part of an information system.

Plan, coordinate, support and facilitate parts of the Volunteers inductions.

Be a key person in supporting the development of new roles, processes and then identifying clear processes of handing the volunteers over to their supervisors.

Support with supervisors in the review of people on placement.

Work with supervisors to maximise the potential for volunteers to donate their time and skills.

Ensure all personal information on volunteers is maintained in a confidential manner in accordance with the requirements of the Data Protection Act 2018 and our internal Privacy Policy.

Lead on maximising opportunities and collection of data for the Volunteer Database; ensuring information is up to date and accurate.

Volunteer Communication

Manage the effective communication to inform and engage volunteers in all aspects of the organisations work. To include but not limited to:

Contributing to newsletters

Work with the Communication team to provide content for media, website and social media channels

Ensuring volunteers are included in Hospice wide and departmental meetings

Disseminating information to volunteers

Plan, deliver and coordinate invitations to events relating to volunteer recognition.

Provide regular reports and statistical information on volunteer activity for a range of internal and external stakeholders. This will feed into the wider Volunteer Plans.

Coordinate risk management and health and safety requirements relating to volunteers. Review policy and monitor when reviews are required for volunteers.

Respond to initial formal and informal complaints or grievances from volunteers, or about volunteers. With Volunteer Development Manager support, assist with dispute resolution and ensure fair and transparent processes are followed in line with organisational policies.

Monitor the turnover of volunteers, keeping up-to-date records, recording reasons for leaving and taking action to address any concerns identified.

Develop Volunteer roles in the Volunteer Development Team to support our needs and to support the achievement of our strategic goals. Provide required support and monitor of outcomes.

Other

Maintain own professional development and keep up to date with advances and changes in practice and research.

Share best practice with colleagues, especially in relation to new approaches to volunteering and Volunteer support/development.

Be aware of, and work in accordance with, all relevant legislation.
