Exciting Support Role: Business Support Officer

Collaborate with the Senior Leadership Team and Service Leads to embed our quality and safety agenda effectively. Your expertise in data manipulation and spreadsheet skills will be crucial in ensuring accuracy and efficiency in managing data across services. You will be involved in various workstreams, supporting project management, taking responsibility for report collation, organising meetings, and more. You will support the Director of Quality Compliance and Engagement to embed governance policy and audits, covering essential areas like complaints handling, health and safety, information governance, patient feedback, safeguarding, and significant events analysis. Your outstanding organizational and planning skills will keep projects on track and support the teams to achieve our objectives. Main duties of the job

Supporting the Director of Quality, Compliance and Engagement in the delivery of a range of service activities, including actions to ensure that services are delivering against all required compliance standards and especially the critical support services that are needed to facilitate this.

Providing business support, project management support and specialist administrative services to the Senior Leadership Team (SLT).

Ensuring that all services are supported operationally and clinically; managed through the use of appropriate systems, procedures and processes.

The post holder will be responsible for their own workload, which will include co-ordinating activities, the preparation of meeting agendas and papers, supporting the preparation of papers for relevant Board/Committee reports/meetings and managing shared email accounts as required.

Job responsibilities

Work collaboratively with the Director of Quality, Compliance and Engagement, Clinical Director and team co-ordinators to ensure CQC compliant processes are embedded, monitored and reviewed appropriately

In collaboration with the Director of Quality, Compliance and Engagement, oversee the maintenance of risk registers and suite of risk assessments to ensure appropriate actions are being taken in a timely manner

Undertake risk assessments as required

Provide support to health and safety work programme activities (including premises related) as required

Work closely with the Director of Quality, Compliance and Engagement, Service Manager(s) and Clinical Director on projects as required (for example this may include service development, collation of data for reports, report writing, setting up meetings, recording minutes or action points, information gathering for business cases, co-ordinating patient focus groups etc.)

Co-ordinate and monitor with the development and regular review (audits) of governance policies and procedures relating to the services which includes:

- Business Continuity Planning- Complaints handling- Health and Safety- Information Asset Registers- Information Governance- Patient feedback for all services- Safeguarding- Significant Events analysis

Maintain up to date registers and logs for audit and governance activities, supporting team members as they investigate and respond to these and ensuring all actions are closed

Promote and maintain systems, practices and evidence in line with the requirements of external bodies such as CQC and support the Director of Quality Compliance and Engagement and others as appropriate to ensure the organisation is CQC compliant and ready

Contribute to the services mobilisation approach that ensures SDHC systematically prepares for the launch of any new services addressing all known and predictable issues prior to launch

Contribute to and prepare effective communications to inform patients, teams, and other stakeholders of any relevant developments

Develop service related communication plans as required

Provide support to patient and stakeholder engagement activities as required

Develop sustainable and effective working relationships across SDHC and relevant external stakeholders

Apply a consistent approach to improvement based on patient and stakeholder feedback

Help to ensure teams work to the requirements of SDHC policies and procedures

Work closely and constructively with your line manager and other service leads to ensure patient-centred services are of a consistently high and CQC compliant standard with care, safety, effectiveness and responsiveness across all areas and help to evidence how SDHC meets these aims

Support the Director of Finance, Information and Technology in holding and maintaining an up to date information asset register

Data that helps us understand our services, our practices and our patients is important to SDHC. You will help to ensure data providing important insights is captured and analysed, assisting with the collection and analysis as required

Undertake designated estates and facilities functions of SDHC premises as required

Carry out any further tasks as required to support the Senior Leadership Team and Service Lead colleagues

The post holder will require excellent IT skills with attention to detail in order to import and export data from a variety of systems, demonstrating high levels of accuracy and the ability to organise and design data presentation according to different needs, working collaboratively with colleagues across the company.

Must also have excellent organisational and planning skills to be able to oversee projects, keep them on track and co-ordinate task and finish groups.
