lives. As ourHR Administrator for Mental Health Services, you will play a
vital role in helping our clinical teams deliver outstanding care to adults and
children accessing ADHD and ASD support. You will be the steady, reassuring
presence behind the scenes ensuring recruitment, onboarding and workforce
processes are safe, timely and compassionate.
This is a role for someone who takes pride in getting things

You will be the first point of contact for HR support across our Mental
Health Services teams providing clear, proactive communication and delivering
high quality administrative support. Your work will include coordinating
recruitment, managing onboarding journeys, ensuring compliance, supporting line
managers with people processes, and maintaining accurate workforce systems.
All of this enables clinicians to focus on what matters
most: delivering exceptional patient care.
Main duties of the job
Key duties include:
Support recruitment activity, including coordinating interviews and managing end to end onboarding processes such as contracts, DBS checks and starter paperwork.
Maintain accurate HR records, employee files and compliance documentation across HR systems, ensuring all information is up to date and audit ready.
Provide professional administrative support for HR processes, including probation reviews, return to work meetings, performance reviews and employee relations activity.
Ensure workforce data, staff lists and system entries (Sage HR, Planner, SharePoint) are updated consistently to support safe service delivery.
Deliver timely, proactive communication to colleagues, managers and candidates, ensuring an efficient and supportive HR service.

Recruitment and Onboarding
Coordinate attraction screening and interview arrangements for new staff.
Manage onboarding processes including offer letters, contracts, DBS checks, health and risk assessment paperwork, and IT/Finance starter forms, closing within 2 weeks of verbal offer.
Ensure immunisation records are checked and recorded as per internal policy, escalating to the Lead Nurse or OH where required.
Workforce Administration
Log staff via both employed and self-employed routes, ensuring 100% compliance before work commences.
Maintain accurate employee files in line with GDPR and audit requirements.
Coordinate probation reviews, return to work meetings, PIPs, and appraisals and other employment-related meetings. ensuring documentation is complete, shared, and stored appropriately.
Track and report on learning and development activity, supporting managers to follow through on agreed actions.
Employee Relations Support
Provide administrative assistance - note taking, document prep, scheduling - for investigations, disciplinaries, grievances, consultations, appeals, and whistleblowing.
Support line managers with risk assessment and conflict resolution meetings by preparing documentation and providing note taking and chair support where directed.
Service Standards & Accountability
Ensure all HR administrative tasks are completed within SLA 5 working days.
Escalate delays or blockages immediately to the HR Team Leader or Head of HR.
Provide weekly updates to the HR Team Leader and Mental Health Operations Service Lead on compliance progress and outstanding actions.
Systems and Data
Accurately update HR systems such as Sage HR, MS Planner and SharePoint records, ensuring workforce data is consistent and audit-ready.
Ensure Staff Lists are accurate and up to date for monthly reporting and live dashboards.
Use Sage HR, Lantum, MS 365 and related NHS systems where required.
