Job summary

The Office Administrator is responsible for delivering high-quality administrative, reception, and governance support within an NHS Primary Care setting. The post holder supports the business in meeting Care Quality Commission (CQC) Fundamental Standards, NHS General Medical Services (GMS)/Personal Medical Services (PMS) contractual requirements, and Primary Care Network (PCN) operational standards. The role ensures the safe and effective management of face-to-face patient clinics, professional handling of patient communications, and compliance with health and safety, infection prevention and control (IPC), and governance frameworks.

Main duties of the job

  • Maintaining a safe environment through health and safety audits, infection control monitoring, risk assessments and incident reporting

  • Supporting clinical operations by managing appointment systems, clinic lists and patient records using EMIS

  • Delivering a professional, compassionate front-of-house service while maintaining patient dignity, confidentiality and safeguarding standards

  • Managing telephone, digital and face-to-face patient communications, ensuring appropriate triage and smooth patient flow

  • Supporting governance and compliance processes, including audit preparation, policy control, training compliance and CQC readiness

  • Maintaining accurate documentation, compliance logs and governance trackers

  • Assisting with complaints handling, feedback management and quality improvement initiatives

  • Ensuring full compliance with data protection, information governance and NHS Data Security requirements

  • Providing wider administrative support to the Operations Manager and liaising with internal and external stakeholders

Overall, the role combines reception management, clinical administration, compliance oversight and governance support to ensure safe, patient centred and well led service delivery.

Conduct and document routine health & safety audits, including:

o Fire safety checks (alarms, extinguishers, emergency lighting, exits)

o Infection Prevention and Control (IPC) compliance in waiting and reception areas o Clinical and non-clinical waste management

Maintain up to date health and safety and compliance logs.

Report incidents, significant events, near misses, and hazards via the business reporting system.

Escalate safeguarding concerns in line with the business Safeguarding Policy.

Ensure patient identification processes are followed for appointments and information sharing.
