This is an exciting opportunity to play a vital role in supporting the delivery of safe, timely and high quality care by ensuring our workforce processes run smoothly.
In this role you will be responsible for the full range of HR administration across the employee journey. This includes recruitment coordination, onboarding, compliance checks, contract administration, and maintaining accurate staff records. You will also support line managers with probation reviews, return to work meetings, and other workforce processes, ensuring that everything is completed within agreed timeframes.
This role is central to maintaining trust in our HR function. You will be expected to communicate proactively with managers and colleagues, providing clear updates on what has been completed, what is outstanding, and any barriers to progress. You will be confident using systems such as SharePoint and workforce trackers, and you will take ownership for ensuring compliance with safer recruitment, DBS, immunisation, and other requirements.
The successful candidate will be someone who is highly organised, has excellent attention to detail, and can manage priorities effectively in a busy service. You will be expected to act with professionalism at all times, recognising that HR sets the tone for the organisation. We are looking for a team player who is approachable, reliable, and committed to delivering a professional HR service that supports line managers and staff.
Main duties of the job
Coordinate recruitment administration including advertising, shortlisting support, arranging interviews, and preparing offer letters and contracts
Manage the onboarding process including DBS checks, immunisation record checks, health and risk assessment paperwork, and IT and finance starter forms
Maintain accurate and compliant staff records in line with data protection requirements
Track and coordinate probation reviews, return to work meetings, appraisals, and performance improvement plans
Provide administrative support for employee relations processes including investigations, disciplinary and grievance hearings, consultations, appeals and whistleblowing
Ensure all HR tasks are completed within the agreed service level of five working days and escalate where this is not possible
Use systems such as SharePoint and workforce trackers to record progress and provide regular updates to managers
Communicate proactively with stakeholders to confirm when tasks are completed, explain any hold ups, and close down actions when appropriate
Support line managers by providing timely HR administration that enables them to focus on leading their teams
Contribute to a positive HR team culture by role modelling professionalism, respect and accountability

To provide reliable, proactive HR administrative support to the Mental Health Services (Adults, Children's and Young People's ADHD and ASD) team. This role ensures safe and timely onboarding, compliance, and workforce processes, helping line managers and clinicians focus on delivering outstanding patient care. The post holder will act as a first point of contact for HR administration, ensuring tasks are completed within agreed SLAs and that communication with colleagues is timely, professional, and respectful.
Key Responsibilities
Recruitment & Onboarding
- Coordinate attraction, screening, and interview arrangements for new staff.
- Manage onboarding processes including offer letters, contracts, DBS checks, health/risk assessment paperwork, and IT/Finance starter forms, closing within 2 weeks of verbal offer.
- Ensure immunisation records are checked and recorded as per internal policy, escalating to the Lead Nurse or OH where required.
Workforce Administration
- Log staff via both employed and self-employed routes, ensuring 100% compliance before work commences.
- Maintain accurate employee files in line with GDPR and audit requirements.
- Coordinate probation reviews, return-to-work meetings, PIPs, and appraisals and other employment-related meetings. ensuring documentation is complete, shared, and stored appropriately.
- Track and report on learning & development activity, supporting managers to follow through on agreed actions.
Employee Relations Support
- Provide administrative assistance (note-taking, document prep, scheduling) for investigations, disciplinaries, grievances, consultations, appeals, and whistleblowing.
- Support line managers with risk assessment and conflict resolution meetings by preparing documentation and providing note-taking/chair support where directed.
Service Standards & Accountability
- Ensure all HR administrative tasks are completed within SLA (5 working days).
- Escalate delays or blockages immediately to the HR Team Leader/Head of HR.
- Provide weekly updates to the HR Team Leader and Mental Health Operations Service Lead on compliance progress and outstanding actions.
Systems & Data
- Accurately update HR systems such as SageHR, MS Planner and SharePoint records, ensuring workforce data is consistent and audit-ready.
- Ensure Staff Lists are accurate and up to date for monthly reporting and live dashboards.
- Use Sage HR, Lantum, MS 365 and related NHS systems where required.
