Job summary

The Workflow At Scale service aims to relieve practices of their daily workflow burden by allowing them to outsource this work to an experienced and efficient team of administrators and clinicians who will manage the workflow process on behalf of multiple practices.

Main duties of the job

The Workflow Administrator will form a key part of this team. As well as managing the daily workflow process, they will work closely with the Service Manager and Head of Service to develop and evolve the service and to ensure that high levels of quality and efficiency are maintained as the service grows.

Job description

Job responsibilities

This role is hybrid based, it is predominantly remote with occasional days based in the Horley office.

Primary duties and areas of responsibility:

  • Process all correspondence according to the agreed protocols and action as appropriate to ensure safe and efficient patient care
  • File letters, correspondence, discharge summaries and other documentation into patient record
  • Identify key clinical and patient data
  • Complete actions requested in correspondence as appropriate and/or ensure they are completed by the appropriate team member
  • Read coding information such as BP recordings, height, weight and smoking status to the patients record in the relevant clinical system
  • Accurately code patient medical records
  • Transfer relevant data from clinical correspondence and input into patient electronic record
  • Identify urgent or complex documentation and ensure this is dealt with in line with protocols, for example, safeguarding documentation
  • Identify and refer clinical and administrative actions as necessary
  • Ensure compliance with coding guidelines
  • Maintain data integrity at all times
  • Work with the Service Manager to identify efficiencies and improvements

  • Working knowledge of Microsoft packages and clinical systems and applications

  • GCSE or equivalent qualification on Maths and English language

  • A-level or equivalent qualification in relevant subject

Experience

  • Minimum of 2 years of working within the Health Service or allied profession
  • Evidence of previous experience of workflow processes
  • Experience of working with primary care clinical software systems (SystmOne, EMIS)
  • Experience of working with range of professionals including senior clinicians

Desirable

  • Minimum 2 years of working in a primary care setting
  • Knowledge of medical terminology
  • Knowledge of summarising within general practice
