Job Title: HR & Finance Administrator
Salary: Circa £28000 pro rata depending on experience
Contract:Permanent
Hours: 17.5 hours per week and the hours must be worked across the week.
Location: Kentish Town and an in-person role based at BC
Reports to: Head of Finance with a dotted line to the Head of People
Accountability: The post holders hall be accountable to the Council of Management of the Brandon Centre through the CEO.
Main duties of the job
This role supports HR and Finance operations by delivering high-quality administration and providing system support to enable the maintenance of accurate data and the generation of timely and meaningful reports. The postholder will collect, compile, and analyse HR and payroll-related data to identify trends, ensure data integrity, and generate actionable insights.
They will also provide general administrative assistance to support financial processes,including support to payroll and help manage HR systems and compliance requirements. Accuracy, attention to detail, and strong administrative capability are essential to success in this role.

HR Administrative Support
- Assist with the creation,formatting, and distribution of internal documents such as policies and guidance materials.
- Support the digitalisation of HR records by scanning, uploading, and organising files to reduce paper-based storage.
- Undertake recruitment activities across all teams, including advertising roles, scheduling interviews, preparing interview documentation
- Undertake Onboarding for new starters and support with induction, including setting up monthly Corporate Induction.
- Ensure new and current employees remain compliant with safer recruitment checks (e.g.references, DBS checks, professional memberships).
- Recommend improvements to existing HR and administrative processes to enhance efficiency and accuracy.
- Track mandatory training completion, ensure renewals are met, and file training documentation for audit readiness.
- Organise in-person training sessions, record attendance and issue training certificates following completion.
- Support Occupational Health liaison by maintaining accurate employee wellbeing and health-related records.
System Support and Maintenance
- Maintain and administer the HR Information System, ensuring all employee records are accurate, completeand up to date.
- Conduct regular data audits and cleansing activities to uphold high data quality standards.
- Ensure HR forms and documentation are completed, submitted, authorisedand filed correctly by line managers.
- Assistin the rollout of the HR system to users across the organisation and provide first-line support, resolving queries and troubleshooting issues.
- Maintain procedural documents, user guides, and process maps for HR systems and administrative workflows
- Collaborate with IT and system providers to escalate issues, support enhancements, and test new system features.
Reporting and Analytics
- Generate and run standard and ad-hoc reports on key HR metrics (e.g., turnover, absence, recruitment, training compliance and staff demographic reports).
- Ensure data handling and reporting comply with internal policies and relevant regulations (e.g., GDPR).
- Keep comprehensive, audit-ready documentation for HR, Finance, and training activities.
- Assist senior team members in interpreting data trends and preparing summaries, dashboards, and presentations for management.
- Provide data support to Finance where needed, including basic reconciliations and tracking of financial or contractual data.
Finance Support
- Assist with financial administrative tasks, such as invoice processing.
- Assist with regular reconciliation of HR and payroll data, to facilitate prompt and accurate payroll processing.
- Provide payroll processing cover for the Finance Assistant.
- Work collaboratively with HR, Payroll, Finance, IT, and other corporate teams to meet operational and data requirements.
