Job summary

To act as medical receptionist: Greeting patients/visitors, dealing with phone calls, booking appointments, call and recalling patients for special clinics, scanning, repeating prescription, manning reception desk, responding to practice generic email /queries from service users, dealing with registration queries. Able to type letters in the absence of the secretary.

Main duties of the job

  • Receiving patients and booking appointments at the Reception Counter.
  • Monitoring of waiting area and keeping it tidy
  • Guiding patients to Consultation rooms
  • Handling cash for private treatment / work
  • Handling repeat prescriptions
  • Photocopying/scanning of documents
  • Dealing with patient registration

Job description

Job responsibilities

Switchboard

  • Making appointments by telephone, handling requests for home visits and taking messages
  • Dealing with request for test results; being aware of the rules of confidentiality

Special Tasks allocated subject to knowledge and experience

Operating the Repeat Prescription service and dealing with queries from patients asking for repeat or acute prescriptions

  • Operating the Cervical Cytology call and recall system and relaying to patients test results
  • Manage the Blood and X-Ray results service
  • Operating the Childhood Immunisation services and sending invitations to patients to attend clinics
  • Staff may be asked to undertake Chaperone duties during clinical examinations training will be provided
  • General admin task: e-referrals, registration, deductions, scanning, maintain workflow, Processing SARS, maintain shared mailbox

Use of Equipment

  • Reception staff should be able to use a photocopier and scanner.

Induction, Training and Appraisal

Staff would be employed on a probationary period of 6 months initially during which time induction and training would take place, followed by a performance review after the probationary period. Support and training are provided, we want our team to feel included and valued.

Flexible Working - Staff are expected to be flexible in their working hours, particularly during the holidays or for emergency sickness cover
