Job summary

Are you passionate about creating outstanding candidate experiences and ensuring new colleagues feel welcome from day one? Join Invicta Health as our Recruitment and Onboarding Officer, where you will coordinate the full recruitment lifecycle and build a robust introduction for every new starter.

Hours of work: 37.5 hours per week but will consider part time.

This is a hybrid role, fixed term for 1 year.

Main duties of the job

The Recruitment and Onboarding Officer will coordinate the full recruitment lifecycle and the seamless introduction of new colleagues. This role ensures every vacancy is filled efficiently, all compliance checks are completed accurately, and each new starter experiences a well-structured, welcoming induction.

What you will do

  • Craft and post engaging adverts across our website, social media, and specialist platforms
  • Guide hiring managers through end-to-end recruitment processes and deliver targeted training
  • Organise interviews, assessment centres, and practical exercises
  • Represent Invicta Health at recruitment events and virtual career fairs
  • Source passive candidates, talent-map hard-to-fill roles, and run social media campaigns
  • Track and analyse recruitment metrics, reporting insights to HR leadership
  • Collect feedback from new starters to drive continuous improvement

How you will support new joiners

  • Coordinate DBS checks, references, occupational health screenings, and professional registration checks
  • Set up colleagues on HR systems, coordinate IT and access badges
  • Draft offer letters, contracts, and induction schedules
  • Organise induction days
  • Booking rooms, arranging lunches, and briefing delivery managers

We have a wide range of services such as hub-based GPs services, GP surgeries, services in Urgent Care Centres and A&E, a Community Primary Care mental health service, GP staff training service and the list is growing all the time.

Main Responsibilities

Verify approved recruitment authorisations and confirm that up-to-date job profiles are in place.

Draft and place high-quality recruitment advertisements on our online platform, social media channels, and any other appropriate resource to attract a wide, diverse pool of candidates.

Liaise with recruitment agencies as needed, negotiate fees, and support the finalisation of agency-sourced appointments.

Provide guidance to hiring managers on the end-to-end recruitment process, including training.

Organise and facilitate interviews and assessment centres, coordinating any practical exercises or tests required.

Attend recruitment open events and virtual career fairs.

Research and implement innovative sourcing solutions for hard-to-fill roles, including talent-mapping, passive candidate engagement, and social media campaigns.

Build internal and external talent networks to support future succession planning, arranging job-shadowing opportunities and taster days.

Produce and analyse recruitment metrics, monitor key performance indicators, and report insights to the HR Manager and Director of People.

Gather feedback from new starters on the recruitment, onboarding, induction, and probation processes and recommend continuous improvements.

Coordinate all pre-employment compliance checks including:

DBS applications and renewal monitoring

References

Qualifications and competency requirements for clinical roles

Occupational health referrals and clearance, flagging required adjustments

GMC/NMC pin checks, NHS Performers List inclusion, and clinical indemnity verification

DSE assessments for office and home workers

Work with the Primary Care & Urgent Treatment Services Operational Manager to ensure appropriate vetting for locum staff and that all locum staff have completed their onboarding documents.

Set up new colleagues on the HR system, order ID/access badges, and liaise with IT to ensure equipment is in place for Day One.

Process offer letters and contracts of employment

Support line managers with the coordination of inductions

Organise induction day, including booking the room, ordering lunch, ensuring delivering managers are attending

Monitor and administer the probation process, chasing managers to ensure timely completion, recording details on the HR system, issuing letters to the staff and escalating concerns to the HR Advisor and HR Manager

Step in to support the HR Advisor and HR & Payroll Officer during peak periods of administrative tasks

General Duties

To work collaboratively and professionally with colleagues across Invicta Health, building and maintaining relationships.

To contribute to the development of services, including processes, templates and principles.

Any other reasonable duties as directed by your line manager.
