Job summary

Admin Assistant

Location: The Nook Hospice - NR14 7PX

Hours: Part Time, 30 hours per week - over 4 or 5 days per week

Contract: Permanent

Salary: up to £25,000 per annum, experience dependent

Main duties of the job

Are you:

  • Aconfident administrator who has experience of Front Desk/Reception duties.

Do you have:

  • A proven ability to provide administrative support including taking minutes at meetings, creating letters and reports.
  • Experience of using Microsoft packages including Excel, Word and Outlook.
  • Experience of working with spreadsheets.
  • Previous experience of working with System One is beneficial, however not essential.

The role:

  • Working with the Lead Administrator you will cover both the admin office and front desk.
  • You will welcome families, service users, visitors to the hospice and provide support the admin needs of the hospice.

Job responsibilities

Job Summary:

To provide an effective and efficient administrative support service for EACH Ipswich/Milton or The Nook.

Responsibilities

Provide administration support: answering telephone, taking messages, greeting families and visitors.

Work as one team with other administrators on site, volunteer receptionists and tri site.

Deal with post and distribute them appropriately. Postage and Franking.

Provide secretarial support as required, e.g. typing letters and reports, taking and typing minutes, photocopying, scanning and filing, excel mail merges.

Maintain a supply of office stationery and other administrative stationery as required, e.g. forms, signing-in sheets, duty rota sheets. Produce mail merged information on request: labels, letters etc.

Maintain good communication and relations between the different EACH sites, external organisations and individuals.

Updating System 1, the electronic patient record database, requiring a methodical approach /attention to detail.

Attend staff meetings and training as required.

Update weekly off-duty rotas, file expense forms, and extra duty claim forms.

Prepare self-rostering off duty, booking calls for care delivery and self-care.

Support lead admin in volunteer driver rotas and lone working.

Being part of the evac hydro rota.

Room bookings

Any other administrator roles required.
