Job summary

Job Summary

The successful candidate for this role will provide administrative support primarily to managers at our on site Inpatient unit.

This person will work alongside other administrators ensuring adequate cover is maintained particularly for annual leave, absence, lunch time periods and fluctuating workloads.

Main duties of the job

Duties will include:

  1. Produce and maintain clinical reports (pressure ulcers, infections, ward activity) from Sentinel and SystmOne for dashboards, audits, and Hospice UK submissions.
  2. Support policy and document management by formatting, updating, scanning, photocopying, and maintaining accurate manual/electronic records.
  3. Coordinate, prepare, and service meetings (internal/external), including agendas, minutes, Teams setup, and diary management.
  4. Collate, prepare, and track audits (infection control, ward clinical, cleaning schedules), reporting outcomes and outstanding issues to leads.
  5. Manage ward communications: draft correspondence, circulate monthly updates/messages, and maintain information boards.
  6. Provide administrative support for staff teams, including inductions, orientation packs, rota cover, document templates, and supply management.
  7. Handle correspondence, telephone calls, emails, and messages professionally, ensuring timely communication across teams and external partners.
  8. Liaise with multi-disciplinary teams, healthcare professionals, and external organisations to support clinical and operational functions.
  9. Support patient, carer, and family needs by sending bereavement cards, handling enquiries sensitively, and providing compassionate communication.
  10. Ensure compliance with GDPR, maintain patient confidentiality, and accurately archive health records and logs.

Qualifications

Essential

  • GCSE grades A to C in English and Maths or equivalent.
  • ECDL/CLAIT/RSA/Pitman or equivalent typing qualification or equivalent level of experience

Desirable

  • NVQ level 2 in administration or equivalent

Knowledge and skills

Essential

  • Excellent communication skills both verbal and written.
  • Good organisational skills including diary management.
  • Ability to prioritise workload, meet deadlines and provide a high quality service.
  • Minute taking.

Desirable

  • Knowledge of medical terminology.
  • An appreciation of the principles of palliative care and the needs of patients with a life-limiting illness and their families.
  • Able to contribute to LOROS Values & Behaviours.
