Job summary
We are seeking a professional and friendly
Receptionist / Prescription Clerk to join our team. The ideal candidate will be
the first point of contact for our patients and visitors, providing exceptional
customer service while managing various tasks. This role is essential in
ensuring the smooth operation of our GP Practice.
Main duties of the job
- Maintaining and monitoring the Practice
appointments system
- Processing personal requests for
appointments, visits and telephone consultations and ensuring callers are
directed to the appropriate healthcare professional.
- Processing and distributing incoming and
outgoing mail.
- Explaining practice arrangements and
formal requirements to new patients and those seeking temporary cover and
ensure procedures are completed.
- Receiving and making telephone calls as
required. Divert calls and take messages, ensuring accuracy of detail and
prompt appropriate delivery.
- Processing prescriptions in accordance
with practice guidelines
- Computer data entry/data allocation and
collation; processing and recording information in accordance with
Practice procedures.
- Initiating contact with and responding to
requests from patients, other team members and associated healthcare
agencies and providers
- Advise patients of relevant charges for
private (non-General Medical Services), accept payment and issue receipts.
- Clearing and re-stocking consulting rooms
as required.
- Providing administrative support to the
Practice as required, including filing, photocopying and scanning.
- Keeping the reception area, noticeboards,
and leaflet dispensers tidy and free from obstructions and clutter
- Providing cover for reception /
administrative colleagues during absence due to holiday or sick leave.

- Maintaining and
monitoring the practice appointment system
- Process personal,
telephone and e-requests for appointments.
- Answer incoming phone
calls, transferring calls or dealing with the callers request appropriately.
- Signpost patients to
the correct service.
- Explaining
practice arrangements and formal requirements to new patients and those seeking
temporary cover and ensure procedures are completed.
- Advise
patients of relevant charges for private (non-General Medical Services), accept
payment and issue receipts.
- Input data into the patients healthcare records,
as necessary.
- Direct requests for
information i.e. SAR, insurance / solicitors letters, and DVLA forms to the administrative
team
- Support in the management of repeat prescriptions, ensuring they are
processed accurately and efficiently.
- Process repeat prescription requests received by any means of
communication in accordance with practice protocol.
- Ensure all prescription requests are processed and are ready for
collection within the required and expected timeframe.
- Generate requests for medication on behalf of the patient for non-repeat
items.
- Discuss with patients their requirements, encouraging patients to order
only what they require.
- Act upon compliance issues, liaising with the appropriate clinician.
- Ensure medication reviews are arranged by maintaining an accurate recall
system.
- Effectively liaise with external services, i.e., district nurses, to
ensure medicaments are arranged for housebound patients.
- Initiate contact with and respond to, requests from patients, team members,
and external agencies.
- Manage all queries as necessary in an efficient manner.
- Act as a chaperone as required.
- Be aware of your duties and responsibilities regarding current
legislation and adhere to practice policies and procedures on Safeguarding
Adults and Safeguarding Children
- Attend a formal appraisal with their manager at least every 12 months.
Once a performance/training objective has been set, progress will be reviewed
on a regular basis so that new objectives can be agreed.
- Undertake all mandatory training and induction programmes deemed suitable by the
Practice Manager / Partners.
- Be an integral part of the general practice team.
- Support all clinical
staff with general tasks as requested.
- Maintain a clean, tidy,
effective working area at all times.
- Providing
administrative support to the Practice as required, including filing,
photocopying, scanning, culling of notes.
- Support reception
staff, providing cover during staff absences.
- Scanning of patient
related documentation and attaching scanned documents to patients healthcare
records
- Complete opening and
closing procedures in accordance with the duty rota.
- Support administrative staff, providing cover during staff absences.
