Urgent Treatment Centre Receptionist

Job summary

To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. To act as the central point of contact for patients,the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

Main duties of the job

The following are the core responsibilities of the receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

Maintaining and monitoring the appointment system

Process personal, telephone and 111 requests for appointments

Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

Initiating contact with and responding to, requests from patients, team members and external agencies

Photocopy documentation as required

Data entry of temporary registrations and relevant patient information as requiredInput data into the patients healthcare records as necessary

Respond to requests for information i.e. insurance and solicitors letters to the Medical Secretaries as per our unit policies.

Manage all queries as necessary in an efficient manner

Maintain a clean, tidy, effective working area at all times

Monitor and maintain the reception area and notice boards

Support all clinical staff with general tasks as requested

In addition to the primary responsibilities, the medical administrator may be requested to:

Support administrative staff, providing cover during staff absences

Action incoming emails when necessary

Scanning of patient related documentation and attaching scanned documents to patients healthcare records

Complete opening and closing procedures.

Updating live waiting times.

Use Cleo to monitor referrals from 111.

Herne Bay Urgent Treatment Centreprovides walk in urgent care for minor injuries and illnesses every day of the year 8am-8pm.The Urgent Treatment Centre is based at The Queen Victoria Memorial Hospital, King Edward Avenue, Herne Bay CT6 6EB phone 01227 594756.The unit was created by the GP practices in Herne Bay working together to provide a service for the residents of the town.Patients are seen by Paramedic Practitioners, AdvancedNursesand Healthcare Assistants.
